What You’ll Do
The Administrative Support Specialist serves as the first point of contact for visitors and callers, providing a welcoming and professional experience while supporting the daily operations of the office. This role combines front desk responsibilities with administrative, facilities, technology, and event coordination support. The Specialist ensures smooth office operations, accurate recordkeeping, and effective communication across the organization while contributing to a positive and efficient workplace environment.
In this role, you will:
Serve as the first point of contact for visitors and callers, providing information and support in a professional manner
Provide general administrative support including scheduling, data entry, copying, reporting, and meeting support (e.g., preparing agendas, taking minutes, distributing follow-up notes)
Coordinate office operations such as supply inventory, mail distribution, conference room scheduling, and building access
Maintain and troubleshoot office equipment; liaise with vendors for IT support and repair services
Manage the WebCheck Fingerprinting program, ensuring compliance and assisting clients with submissions
Support internal events by organizing logistics and preparing materials such as staff name badges
Assist with facilities management, including safety checks, maintenance coordination, shredding, and clean-up days
Contribute to organizational initiatives and perform other duties as needed
Successful candidates will have
1–2 years of administrative, facilities, or office experience (nonprofit experience preferred)
High school diploma or equivalent required
Strong problem-solving skills with the ability to anticipate needs, troubleshoot issues independently, and implement practical solutions
Responsive and self-motivated, with the ability to take initiative and see projects through to completion
Advanced customer service skills; excellent written and verbal communication abilities
Comfortable communicating with staff, leadership, board members, and community partners
Proficiency with Microsoft Office Suite (Word, Excel, Outlook); ability to manage calendars, create and edit documents, and perform data entry
Familiarity with common office equipment (computer, copier, fax machine, printer, multi-line telephone)
Commitment to executing work through a diversity, equity, and inclusion lens
Desired but not Required
Associate’s Degree in Business Administration or related field
Bilingual ability a plus
