Provide general secretarial assistance to Office of Investigative Services (OIS) staff by performing routine administrative tasks\:

Independently provide explanation of Divisions duties & responsibilities either orally or by written correspondence;

Research & respond to internal &/or external inquiries;

Coordinate daily work flow of office;

Update &/or maintain office manuals &/or notebooks;

Serve as primary entry point for visitors &/or incoming calls to OIS by answering, screening &/or directing calls to appropriate staff or taking messages; Provide routine information & assistance via telephone, email or in person to internal & external customers;

Utilize various databases to input, update &/or retrieve information;

Maintain inventory & order office equipment & supplies; Assign investigative equipment & supplies to investigators;

Enter monthly weights for OIS staff & compile report;

Complete clothing allowances;

Enter training expenses, tuition & travel reimbursement requests; Update training &/or instructor records;

Maintain & update read & sign, & Law Enforcement Automated Data System (LEADS) materials;

Utilize personal computer to create &/or update records, databases, spreadsheets, files, form letters interoffice communications, etc.;

Establish & maintain efficient filling systems containing confidential records, personnel files, correspondence, &/or other information for OIS;

Proofread communications &/or other materials for errors & make necessary corrections;

Perform related clerical tasks (e.g., copy & distribute written material; prepare reports; schedule, attend, &/or draft minutes of meetings; sort & distributes mail; retrieve copier meter readings; update phone list; maintain information on vehicle inspections, assignments, mileage, & service history by entering relevant data into the Fleet Ohio System etc.);

Track Ohio Department of Rehabilitation & Corrections (ODRC) Log, Case Management System (CMS), Federal Bureau Investigation (FBI) & Executive Protection Unit hours;

Process court related documents &/or subpoenas (e.g., forward subpoenas, confirm court dates, check on disposition of cases, etc.);

Maintain OIS follow-up files;

Create & update on-call schedule;

Assist with completion of forfeiture case audit;

Prepare records for retention;

Review credit card log for accuracy & completeness;

Update & maintain status reports for red jacket, Governor, & National Crime Information Center (NCIC) cases &/or validations;

Track daily, monthly, & yearly numbers for yearend reports;

Make computer entries & modifications under supervisory direction;

Assist in coordinating OIS participation in the Ohio State Fair;

Track & ensure updates of disturbance plans are in place;

Fill in for other support staff in their absence;

Performs other related duties as assigned.
