Construction Coordinator - Multi-Family

Salary: $70,000 - 85,000 a year, bonus, benefits, 401k, PTO, etc.
Job Description:
The Construction Coordinator plays a key role in ensuring the smooth execution of construction projects by managing critical administrative tasks, supporting the construction leadership team, and maintaining accurate project documentation. This position requires a proactive individual with strong organizational skills, attention to detail, and a solid understanding of construction processes and software systems. The Construction Coordinator ensures accuracy, timeliness, and efficiency across contract workflows and serves as the administrative backbone of multiple and simultaneous projects.
Responsibilities:
Provide direct support to Project Managers, helping to facilitate project success. This role will also have direct involvement with the Preconstruction team and Accounting department. Specifically:
Project Administration & Documentation
Prepare, issue, and track subcontracts and purchase orders for all assigned projects, ensuring timely processing and proper execution.
Maintain subcontractor compliance logs, proactively monitoring expiration dates and following up on renewals.
Assist with project billing, ensuring each pay application includes required AIA forms, lien waivers, and supporting documentation.
Update and maintain the Procore directory, ensuring all contacts and information remain current and accurate.
Submittals & Procurement Support
Set up and organize project documentation in Procore, including creating new project folders, establishing submittal logs, and uploading initial contract documents.
Assist with reviewing, processing, and tracking submittals, particularly those related to early projectphases or lead-time materials.
Log, track, and help procure construction permits, coordinating with the project team to ensure timely approvals and compliance with local regulations.
Coordination & Communication
Collaborate closely with Project Managers, Preconstruction, and Accounting to align contract documentation, billing records, and project financials.
Conduct regular audits of project folders and Procore files to ensure compliance with company standards.
Meet regularly with Project Managers and Superintendents to provide progress updates, identify issues, and support project success.
Assist with special projects or additional tasks assigned by the Supervisor or leadership team.
Closeout & Turnover
Coordinate and collect all required project closeout documentation, ensuring completeness and accuracy.
Track and report subcontractors who fail to provide necessary closeout materials.
Maintain closeout folders and facilitate the handover of final documentation to the Property Management team.
Candidates Must Possess the Following:
Candidates must have 3-5 years of experience in the construction industry.
Team player mentality and driven to help the project teams succeed.
Understanding Procore and Procore Project Management and Financial Management Tools.
Possess good interpersonal skills and proactive attitude.
Ability to communicate effectively both orally and written.
Detail oriented with strong organizational skills.
Understands the Contracting and Purchase Order process.
Demonstrated ability to meet or exceed deadlines for deliverables.
Strong interpersonal skills, ability to communicate and manage well at all levels of the organization and with staff at remote locations essential.
Strong problem solving and the ability to exercise sound judgment and make decisions based on accurate and timely analyses.
High level of dependability with a strong sense of urgency and results-orientation.
Highly proficient in Procore, Bluebeam, Microsoft Excel, Project Word, Outlook, and supporting software necessary for the job.
