About the Role
We’re seeking a career Executive Assistant who is a calm, composed, and highly capable professional to support our CEO. This is not just a task-based administrative position; it’s a strategic partnership requiring foresight, judgment, and discretion. The ideal candidate is proactive, resourceful, and thrives as a “team of one” in supporting a high-performing executive and company using their maturity, precision, and professional judgment and experience.
WHAT YOU'LL DOExecutive Operations
Manage and coordinate the executive's calendar across time zones and priorities., scheduling appointments and meetings
Coordinate travel, logistics, and meeting schedules with accuracy and confidentiality.
Anticipate needs by preparing briefing materials, taking notes when needed, preparing and sending out agendas, and follow-up actions proactively. Communication & Documentation
Draft and edit correspondence, reports, and presentations that reflect executive voice and tone.
Act as a point of contact between the CEO, leadership team, and external partners.
Ensure seamless information flow across the organization, maintaining clarity and professionalism.
Perform general office duties, including answering calls and responding to emails Strategic & Project Support
Work with Chief of Staff and other Executives to track initiatives, deliverables, and executive follow-ups across teams.
Assist, when needed, in preparing executive meetings, including arranging one-off leadership meetings, training sessions, and other discrete and intimate events.
Support key meetings and events (board sessions, retreats, Town Halls, leadership summits).
Conduct research and prepare concise summaries to inform executive decisions.
Conduct research and prepare reports on various topics related to the company Confidentiality and Professional Judgment
Manage and maintain confidential files and documents
Handle sensitive information with the utmost discretion and diplomacy.
Represent the CEO and firm’s culture with tact, respect, and integrity. WHAT WE ARE LOOKING FOR
Experience: 7–10+ years as an Executive Assistant supporting a C-suite leader (preferably in a fast-paced or professional services environment).
Professionalism: Excellent written and verbal communication, with impeccable attention to detail and discretion.
Autonomy: Comfortable operating independently, prioritizing effectively, and solving problems without handholding.
Resilience: Unflappable under pressure; able to manage competing demands with calm and confidence.
Judgment: Exercises sound decision-making, anticipates needs, and acts with maturity and integrity.
Technology Skills: Highly proficient with Microsoft 365, Outlook, Teams, and project tracking tools Experience in Monday.com, Netsuite, and other tools a plus.
