Job Overview
The Information Technology team at Earthley is seeking an IT Systems & Operations Coordinator responsible for centralizing the day-to-day administration of Earthley’s systems. This role ensures access is governed, operations remain consistent, and e-commerce functionality is reliable.
Primary focus areas include User & Access Management, System Administration, E-Commerce, Procurement, Governance, and Compliance.
We seek an individual who is a self-starter, detail-oriented, and a strong collaborator.
Objectives of This Role
Manage internal system access and account role identification (Identity Collaborate with the IT Development team on quality testing. Management — in conjunction with third-party vendors, HR, and IT).
Collaborate with the IT Development team on quality testing.
Manage and configure e-commerce coupons and discounts.
Key Responsibilities
User & Access Management
Provision and deprovision user accounts across all core systems.
Enforce role-based access control (RBAC) and least-privilege principles.
Conduct quarterly access reviews and maintain audit logs.
Coordinate with HR for onboarding, offboarding, and same-day termination removals.
Systems Administration
Manage access, permissions, and governance for Earthley Admin.
Support company systems including ProTracker, Freshservice, ShipBob,Monday.com,Klaviyo, Crazy Egg, and other departmental applications as needed and other departmental applications as needed.
Serve as the central owner for system access and usage consistency across Finance, Marketing, Customer Service, and other departments.
E-Commerce QA & Promotions Support
Validate checkout flows, pricing, discounts, coupons, and promotions in staging and production.
Coordinate with the Marketing Department to ensure accuracy of promotions and customer-facing functionality.
Maintain structured quality assurance processes and documentation for e-commerce updates.
Procurement & Systems Inventory
Track license counts, spend, and renewal dates across platforms.
Maintain a comprehensive systems inventory across all departments.
Oversee secure decommissioning and data management for systems no longer in use.
Governance & Compliance
Maintain system documentation, Standard Operating Procedures (SOPs), and runbooks.
Support data governance practices, including retention enforcement and vendor/contract alignment.
Contribute to incident response readiness and audit preparedness.
Tier 1 IT Support
Handle basic tickets such as password resets, access requests, and troubleshooting.
Escalate complex issues to developers, vendors, or IT leadership.
Skills and Qualifications
2–4 years of experience in IT support, SaaS/e-commerce administration, QA, or related role.
Strong organizational skills and attention to detail.
Ability to execute repeatable QA test plans.
Familiarity with SaaS systems and e-commerce operations.
Knowledge of access management, RBAC, and IT governance practices.
Strong communication skills and ability to collaborate across departments.
Preferred Qualifications
Experience supporting e-commerce environments.
Familiarity with tools such as ProTracker, ShipBob, Klaviyo, and Monday.com.
Understanding of compliance frameworks or audit processes.
Demonstrated ability to manage multiple systems and vendors effectively.
Physical Requirements
Ability to sit and work in front of a computer for at least 8 hours per day.
Ability to use standard office equipment, including a computer, keyboard, mouse, and telephone, for prolonged periods.
