About Us

Established in 2015, U Arts Academy is a professional school offering high-quality afterschool programs in Greater Vancouver. We specialize in academic and arts education for students aged 4 to 12. Our academic program includes English writing, advanced literature, French, and speech arts, while our arts program covers singing, acting, Chinese speech, modeling, and musical theatre.

Position Overview

U Arts Academy is seeking a highly organized and detail-oriented Office Manager to oversee the day-to-day operations of our Richmond location. The Office Manager will play a key role in managing administrative functions, coordinating staff and student schedules, maintaining accurate records, and supporting both parents and teachers.

Responsibilities

• Oversee and coordinate office administrative procedures and recommend improvements.

• Supervise administrative support functions, including correspondence, reports, presentations, and data collection.

• Establish work priorities, delegate tasks to office staff, and ensure deadlines are met.

• Oversee staff schedules, assist with onboarding and training new team members, and provide ongoing support.

• Serve as the primary contact for parents, handling inquiries via phone, email, and in person in a professional manner.

• Prepare and review student reports, update schedules, and support admission/registration activities.

• Monitor tuition payments, issue invoices and receipts, and maintain accurate financial records.

• Assist in preparation of the operating budget, track monthly and annual data, complete inventories, and prepare reports for management.

• Ensure student and family records are handled in a confidential manner and stored securely.

• Coordinate office services, including supplies, equipment maintenance, and facility needs in cooperation with vendors or landlords.

• Support the planning and execution of school events, meetings, and special projects.

Qualifications

• Completion of secondary education is required.

• Post-secondary education in business administration, office management, or a related field is preferred.

• Minimum of 2 years of administrative or office management experience is an asset.

• Strong organizational and communication skills.

• Proficiency in English (both written and spoken); additional language skills are an asset.

• Ability to work independently and manage multiple priorities effectively.

Job Type

• Permanent, Full-Time

• 30 hours per week

Compensation

• $37.00 per hour and 10 days paid vacation annually
