Job Title: Executive Assistant / Office Administrator
Overview:
We are seeking a talented and versatile Executive Assistant/Office Administrator to join our team. This full-time, in-office position (Monday-Friday, 9 AM to 5 PM) plays a critical role in supporting the Owner, VP, Director, Controller, HR Manager, and overall office operations. The ideal candidate will have a strong sense of urgency, proficiency in basic financial and HR tasks, and the ability to ensure accountability and efficiency across teams.
Responsibilities:
Office Administration and Executive Support:
Provide administrative support to the Controller, VP, and Director.
Oversee general office operations, ensuring an organized and efficient work environment.
Hold team members accountable for time management and productivity.
Assist managers who visit the office periodically and help with shipping and receiving tasks.
Accounting and Financial Support:
Perform accounts receivable (AR) tasks, including bill payment and reconciliation.
Handle financial accounting tasks using QuickBooks and Excel.
Manage utility accounts and ensure timely switchovers.
Human Resources:
Perform basic HR tasks, including onboarding new employees and maintaining HR policies.
Manage HR functions for a small business, ensuring compliance and efficiency.
Support office-wide initiatives to foster a productive and motivated team environment.
General Duties:
Provide support for part-time in-office staff and ensure their duties are aligned with operational needs.
Collaborate with other departments to ensure smooth workflows and timely communication.
Qualifications:
Proficiency in QuickBooks and Microsoft Excel.
Experience in accounts receivable, bill payment, and basic financial tasks.
Strong organizational skills and attention to detail.
Experience with HR processes, including onboarding and policy management, is a plus.
Sense of urgency and ability to work independently in a fast-paced environment.
Excellent communication and interpersonal skills.
Position Details:
