Your Responsibilities
Answering and directing internal and external phone calls
Sorting and distributing of incoming daily mail and assisting in processing outgoing mail (arranging couriers)
Greeting visitors and suppliers
Being the first point of contact for clients, suppliers and colleagues and assist them with their various requests
Handling of general administrative tasks (copies, scans, prints)
Organizing and coordinating of meetings and corporate events
Assisting the Management when required
Setting up conference rooms
Compiling checklists for building maintenance issues and placing maintenance requests with the facility management
Supporting the facility management team
Ordering and distributing of office materials and marketing supplies; keeping an inventory of stock
Supporting colleagues with the organization of their business trips
Coordinating the occupancy and cleaning of corporate apartments
Supporting internal teams upon request
Your Profile
A degree and/or professional work experience in the administrative field
Strong organizational and administrative skills
Hands-on mentality
Independent, fast-learning, motivated and able to work under pressure
Excellent communication skills
Friendly and open-minded personality, team player
Proficiency in Microsoft office software (Word, Excel, PowerPoint and Outlook)
Fluency in English, German and French is mandatory; additional languages will be considered as an asset
