Lead Phlebotomist - Excela Square

The Lead Phlebotomist is responsible for demonstrating high-level skills in HIS functions for patient registrations, collecting accurate patient information, and reviewing and entering physician orders into the computer. The role involves performing patient demographic inquiries to verify information, assuring the accuracy of patient identification using two identifiers, and demonstrating knowledge of insurance guidelines by verifying insurance via an online eligibility system and updating per response.

The Lead Phlebotomist must complete forms as required and appropriate, use the appropriate registration codes, and comply with current registration, coding, and billing policies. They will utilize the order entry system for resolution of order errors, troubleshooting, and placing work orders. The Lead Phlebotomist demonstrates high-level skills in Laboratory Information System (LIS) functions, accurately placing orders, looking up test codes, collection information, physician demographics, faxIQ, etc.

The Lead Phlebotomist monitors various reports to track specimens and/or results, monitors HIS-LIS interactions and communications, corrects minor issues, and reports unresolved problems to the help desk or appropriate individual. They complete daily operational tasks and logs pertinent information, monitor "orders not processed" to track missing orders/specimens, and follow standard precautions when performing venous or capillary phlebotomy.

The Lead Phlebotomist assures the correct identification of patient and specimen, using two identifiers, and follows written department protocols for blood collection, including "order of draw", pre- and post-venipuncture care. The Lead Phlebotomist interacts effectively with healthcare providers and patients to obtain and exchange information needed to expedite quality laboratory services. They assure that telephones are answered with professional etiquette and manage calls to keep hold time and transfers to a minimum. The Lead Phlebotomist remains current with changes in department protocols in order to communicate accurate information, fills supply orders, and sends supplies to floors or off sites as needed.

The Lead Phlebotomist progresses specimens to sections in an organized manner, recognizing the impact on overall operations, maintains and organizes a variety of documentation to monitor, record, and represent departmental operations, and scans and indexes documents for future retrieval. They access, understand, and make use of the filing system in SPR, document receipt of specimens, and processes laboratory orders while assessing basic specimen appropriateness.

The Lead Phlebotomist accesses patient orders and specimens according to current policies and procedures, adjusts information to enable maximum results reporting efficiency, keeps current on the test menu and specimen requirements, and complies with established protocols for specimen identification and labeling; follows specimen rejection policies and documents appropriately. They respond promptly and effectively to changes in work volume and processing re-prioritization, assure accurate transfer of physician orders and special instructions for processing and reporting, and compile, sort, mail, and process results in a timely, accurate manner.

The Lead Phlebotomist monitors and takes corrective action to investigate delays in pending reports or incomplete physician information, maintains physician database, and processes faxes and results to expedite results reporting, assuring professional appearance and quality of the report. They maintain operational readiness of the work area to assure continuity of service between and among staff, maintain adequate supply inventory, and maintain temperature charts, sharps containers, etc. at off sites, and initiate corrective action to variances.

The Lead Phlebotomist organizes, prioritizes, and sends out testing performed in laboratories or in approved reference laboratories, organizes samples for send out testing, and ready samples for transport, including all computer work required. They receive reference lab reports and scan reports into the system, maintain send out testing supplies and requisitions, and manage study protocols that are sent to research laboratories. The Lead Phlebotomist assists with assigning lower-level staff to cover call offs/shift openings, participates in quality management program for support services, communicates to IT Help Desk with any database functionality or operational issues, and operates hospital vehicles in compliance with all regulations, ensuring safe and efficient travel between collection sites.

The Lead Phlebotomist leads in the phlebotomy competency and validation of new employees, RN's, and technical partners. Other duties as assigned.

Required Qualifications/Experience:

High School Diploma, GED or next higher level of education.

Two (2) years of Phlebotomy experience.

Completion of Phlebotomy Training Program or Medical Assistant Training Program.

Completion of full registration training within 90 days of hire.

Knowledge of coding, basic math, and payer/insurance benefits.

Knowledge of Microsoft Office applications and general office related equipment, such as a fax or copier.

Medical terminology and specimen knowledge and laboratory information system experience preferred.

Strong leadership ability, good organizational skills, independent and critical thinking skills, sound judgment, and knowledge of legal aspects and liability of nursing practice.

Strong ability to communicate complex and/or controversial topics and concepts to a wide and diverse audience.

Preferred Qualifications/Experience:

Experience in Healthcare setting.

License, Certification & Clearances:

Valid Driver's License (if out of state hire, the record report from applicable state's driver license department is required).

Act 73 FBI Clearance with renewal

Position Type/Expected Hours of Work:

Incumbent will be scheduled based on operational need (rotate shifts, standby, on-call, etc.).

Travel may be expected locally between System locations.
