Job Summary The University of North Georgia is currently accepting applications for a Faculty Records Coordinator on the Gainesville campus.
This position is responsible for the accuracy and integrity of faculty files including confidential information.
The duties require collaboration with individuals in the academic colleges/departments, as well as human resources, payroll, and information technology services.
Requires knowledge of internal policies and procedures related to faculty hiring, promotion, and tenure, as well as USG and Board of Regents policies.
This position supervises the Faculty Records Specialist, Faculty Records Associate and student workers.
Responsibilities * Responsible for ensuring that faculty folders are up-to-date and accurate starting with folder creation for new hires through to the storage/destruction of inactive files.
Determines the appropriate contents for the permanent faculty folders and ensures these materials are available for review when requested.
Serves as the records retention liaison for the FR Office.
* Responsible for entering Managed Faculty Events (MFE) for new, changing, and terminating files as a part of OneUSG.
Collaborates with the Provost's Office and Human Resources to ensure accuracy and resolved inconsistencies.
Works with the Human Resources Office to produce reports and create queries related to faculty data reporting.
Responds to inquiries for faculty data.
* Functions as UNG expert resource for issues pertaining to faculty status for pre-tenure, post tenure, promotion and tenure review by determining eligibility and tracking outcomes.
Audits OneUSG data to ensure that appropriate annual contract type is selected for each faculty member.
Updates University data systems as needed when faculty status changes occur.
Ensures that paper files reflect current faculty status.
* Performs maintenance of existing records to ensure that information is current and accurate.
Updates information as needed to ensure that faculty ranks, tenure status, Laserfiche files, etc' are accurate in the University's systems.
* Processes FT Faculty Contract Addenda, PT Teaching Agreements, PT Additional Employment Acknowledgement Forms, Departmental Agreements, and Summer Teaching Agreements by semester, prepares reports tracking completion and missing information.
* Hires, supervises, trains, and evaluates the Faculty Records staff.
* Other duties as assigned.
Knowledge, Skills & Abilities * Prefer knowledge of Banner or PeopleSoft systems and Microsoft suite of products.
* Strong oral and written communications skills, administrative experience and excellent interpersonal and teamwork skills.
* Ability to multitask, manage workloads, maintain accuracy and confidentiality and meet deadlines.
Required Qualifications * Bachelor's degree required.
* Two years of administrative experience.
* Or equivalent combination of education and experience.
