POSITION SUMMARY

We are seeking a detail-oriented Office Coordinator. This position represents an exciting opportunity within our organization. This role offers the opportunity to gain a comprehensive understanding of our organization by supporting each of its key functions. Your daily activities in this role will involve supporting the events team with planning and execution, performing basic bookkeeping tasks, assisting with business development in communications and social media, and collaborating with our Executive Admin to ensure seamless support across the organization. OBJECTIVES OF THIS ROLE

· Maintain accurate and up-to-date financial records using [e.g., QuickBooks, Xero, etc.].

· Record and categorize all income, donations, grants, and expenses.

· In conjunction with the Executive Admin, reconcile bank accounts and credit card statements monthly associated with Events.

· Process accounts payable and receivable in conjunction with the Accounting Team

· Maintain proper documentation for financial transactions and grant reporting.

· Support the Events team with newsletters and structured communications to Industry Partners, Foundations, and other donors.

· Support the marketing team with social media management regarding community outreach.

· Support the Events staff with a plethora of duties, including but not limited to: streamlining documentations, assisting in promotional activities for events, assist with all aspects of events leading up to and on the day of events, assisting in the move-in/out processes for event spaces, and assist with basic vendor and supplier sourcing.

· Provide a high level of customer service and problem-solving skills (phone, in-person, email and virtually)

· Perform basic website modifications

· Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.

· Manages mailing of supplies and information to the schools

· Assist with Housing Management for Fall Leadership Conference and State Championships

· Assists with Excel Spreadsheet creation as needed for data tracking and planning

· Maintain flexible working hours, working evenings, and weekends as needed.

· Understanding of fiscal responsibility.

· Other duties as assigned by the Executive Director

MINIMUM EDUCATION, LICENSE, OR EXPERIENCE REQUIREMENTS

This position requires previous experience in a similar role, with a preference for experience in non-profit and event management. Experience with a Career Technical Student Organization (CTSO) is a plus. Software requirements include Microsoft Office, Canva, QuickBooks, Zoom/Teams, and Dropbox—additional software knowledge in Canva, Constant Contact, and Monday.com.

IMMEDIATE SUPERVISOR: SkillsUSA Ohio Executive Director, but Matrix Report to Events Team and COO

COMPENSATION: The annual salary range is $55,000 to $65,000. Medical/Dental/Vision insurance available after 90 days. 401k available after 90 days. PTO earned at XX rate per pay period and available after 90 days.

Other Items to Note:

· Attendance is critical to the success of this position

· This is an in-office position. Remote or Hybrid will not be an option

· This position will have some travel associated with events, which can be overnight in some cases

· This position will come with on-the-job training. Candidates need to be prepared to jump in and learn and should not expect to have everything mapped out for them in advance.

· This position requires the candidate to be able to lift and move boxes up to 35 pounds, and during events, will have periods of extensive walking and standing.

· A successful candidate for this role will have a personality that is highly adaptive to a changing environment. As a small staff, priorities can shift quickly, and an “all hands on deck” attitude is required to be successful

· Maintaining our organizational culture is essential to our success. Organizational culture fit will be as important as skill set when determining who is selected

· Must pass a background check and credit check upon selection to officially start in this role.

· This position will have a 90-day probationary period. During this period, the employee or employer can terminate employment with or without cause at any time, and benefits will not commence until the 90 days has been successfully completed.
