Key Result Areas Duties and Responsibilities 1.
Plan, implement, and monitor the implementation of tea plantation activities in line with the organisation's strategy and business plan and green leaf production.
Prepare plans for tea and coffee plantation activities and present them to management.
Ensure all estate operations, e.g tea plucking, coffee picking, weeding, spraying, pruning, fertiliser applications, etc., are carried out following Company procedures and that high standards are maintained and improved on Coordinate the implementation of tea plantation activities with division managers and superiors Follow up with the Accounts Department to ensure Quality service delivery from all the contractors and suppliers.
Responsible for approving all expenditures for running the estate, i.e.
wages will be your responsibility, and supporting documents must be maintained according to Company procedures.
Responsible for drawing up and approval of all contracts following the company procedures, for work to be done on the estate before any work is undertaken.
Thereafter, you will ensure that work is carried out in accordance with the content, and no payments are made until the work is carried out to your satisfaction.
Ensure that enough Greenleaf is plucked and coffee is picked as per the company's requirement.
Ensure that enough area is plucked per day.
To pluck 21 ha per day.
Pluck the cumulative year’s crop budget.
Ensure that the estate has enough pluckers.
Ensure that absenteeism and escapism are kept below the requirement.
Ensure that all pluckers and coffee pickers have full attendance.

Develop strategies for and monitor the implementation and compliance with the standards and green leaf quality.
Carry out inspections at fields and collection centres, assess the quality of green leaf for compliance with standards.
Develop strategies for green leaf management and compliance with the national and international standards, and communicate to all field staff.
Review reports from the factory Manager, make recommendations and follow up on their implementation Set quality standards in line with Company policy.
Ensure that the soft tender leaf is plucked and sent to the factory.
Factory standard of three leaves and a bud plus soft banji.
Ensure that the leaf is handled well and not damaged.
The leaf should not be exposed to the sun and over-packed.
Ensure that enough area is plucked per day, at least 21 ha and maintain the 15-day plucking round target.

Manage the performance, development, and welfare of staff at the estate in line with HR policies, union terms and conditions Carry out in-house training for subordinate staff and carry out training needs assessment.
Ensure that all employees at the estate comply with the company’s HR practices.
Liaise with the HR and Administration department to ensure that estate workers are accommodated.
Enforce employee disciplines in line with company policies and union terms and conditions and recommend disciplinary action where necessary.

Plan, monitor and evaluate the picking of coffee cherries and delivery to the factory Plan and determine the location of green leaf collection centres.
Allocate collection vehicles and ensure the timely collection of green leaves from the centres to the factory.
Prepare schedules for division Managers and communicate them to them, receive and review daily reports take corrective measures 5.
Maintain, account, safeguard and monitor the utilisation of the company’s assets and manage inventory/Store Account for the assets in the estates Ensure proper record keeping for all items issued at the estates.
Prepare monthly inventory for all the assets at the estates.
Ensure the estate boundaries are free from encroachment.

Plan and prepare the field department annual budgets, plans and monitor their performance in line with the business strategy Coordinate planning, consolidate and prepare final budgets and plans for the Field Department Follow-up on the implementation of planned activities Monitor and evaluate the progress/success of field operations and present periodic field reports to management Monitor the Field Department budget and approve/authorise expenditures Annually, you will prepare crop Budgets for submission to the Board for approval in accordance with instructions received Follow up on and report on the budget performance and account for all expenditures and variances All monthly returns must be checked and reviewed by you to ensure compliance with budget procedures.
At all times, accurate knowledge of your expenditure must be maintained to ensure you are running within budget costs.
Any cost overruns should, under normal circumstances, be anticipated in advance, and appropriate supplementary estimate requests are to be processed.
Participate in UTCL strategic planning and budgeting and in subsequent reviews of the strategy Run the company profitably 7.
Estate Administration: Establish and maintain relationships with workers and key stakeholders in line with the business strategy Build and maintain excellent relationships with both the workers and other key stakeholders to ensure the availability of quality green leaf as per the company quality policy.
All Company assets within the estate will be your responsibility, and you will have to ensure proper records are maintained at all times and that due attention is given to asset protection All Estate roads must be maintained to a high standard at all times.
(Budgetary control limits accepted) Regular inspection reports are monitored and maintained.
As part of your duties, you will be required to make regular inspections of all estate boundaries to ensure they are secure and no encroachment is taking place.
All boundary roads to be maintained such that they can be driven along.
All boundaries/fence lines to be maintained and kept tidy at all times.
All buildings on the estate must be maintained to a high standard at all times, and regular inspection reports monitored and maintained.
You will be responsible for ordering all stores and spares required by your estate in line with Company procedures.
You will be responsible for ensuring all stock records, check rolls and other documents used in running the estate are properly kept, and up to date.
Security of the estate will be your responsibility.
It is your responsibility to ensure that all estate operations are carried out safely and securely and that appropriate protective clothing is worn at all times, especially for the sprayers.
You will be required to compile the standard Monthly Report outlining activities carried out on the estate the previous month, to be submitted on the 3rd day of the following month.

Supervise the weighing and recording of green leaves at the estates Monitor the recording of green leaf and coffee cherries picked.
Monitor the leaf-counting exercise 9.
Weeding Ensure that all fields are kept weed-free by recruiting enough Weeders.
Ensure that the manual weeding standard conforms to company standards.
All weeds should be dug out or pulled out with roots.
Ensure that all chemical is utilised properly and effectively with a good brown/black visible kill.
Ensure that non-flowering/seeding weeds are only sprayed.
Weeds below 4 inches tall are sprayed.

Afforestation Ensure that all the estate forest area is kept clean all the time through recruiting forestry workers.
Ensure that the chemical allocated for forestry is effectively used with good brown kill.
Ensure that the required firewood is harvested safely in the selected areas as chosen by management.
Enough firewood and transport contractors are assembled with a minimum of 40 tons per day; discipline and order must be seen in the harvesting areas.
Other Key Generic Duties: Attending supervisory and other related meetings.
You are expected to be fully conversant with the Labour Laws and all the current Agreements between UTC and NUPAW(U). Also, part of your duties will be to maintain good working relations between management and workers.
You will be expected to have read and fully understood the company procedures laid down in the company manual.
To ensure adequate security and safeguard company property both on and off the estate.
Other duties and responsibilities will from time to time be delegated to you and will become part of your responsibilities.
