Department Bio

The Office of Academic Programs in the Elliott School of International Affairs Dean's Office is seeking federal work study students to serve as Administrative Assistants for our programs and staff. Our office directly supports over ten academic degree programs, guides the Elliott School's experiential learning and online education programs, and facilitates course scheduling, part-time faculty affairs, curriculum management, assessment, and related administrative support for all Elliott School courses and programs.

Position Specific Summary

Working under the Assistant Dean for Executive Education and Special Initiatives, the student will serve as an administrative assistant and perform tasks to support the operations of Elliott's Executive Education and Special Initiatives.

Tasks may include:

1. Program Development Support

Conduct benchmarking of similar programs at peer institutions.

Support curriculum design by compiling course proposals, faculty bios, and syllabi drafts.

Prepare background briefs on global trends relevant to Executive Education. 2. Strategic Outreach and Engagement

Maintain and update a contact list of potential clients (governments, NGOs, corporations, embassies, etc).

Help prepare presentation decks for prospective partners.

Support the organization of info sessions or briefings.

Help gather and edit testimonials or short interviews with alumni.

Maintain records of alumni and their post-program achievements.

Draft internal reports summarizing program performance. 3. Program Operations

Support application and registration processes.

Help compile and distribute pre-program materials (readings, agenda, welcome kits).

Coordinate logistics for in-person or hybrid components (venue, catering, materials).

Track participant attendance and feedback.

Support the generation of completion certificates.

Prepare cost estimates and pricing proposals for custom programs.

Organize records of instructor payments, vendor contracts, and reimbursements.

Schedule meetings and prepare agendas for strategy or planning sessions.

Maintain updated timelines and work plans.

Standard Position Description

The student will serve as an administrative assistant and perform tasks to support the operations of the the office or department. Task may include managing small to mid-level projects or events, responding to departmental inquiries, assist with communications and marketing, data entry, and other general office tasks. Special projects or duties may be assigned related to specific office needs.

Some applicable educational, technical, or professional experience required, some training will be provided.

Preferred Qualifications

Strong interpersonal skills, professionalism, attention to detail, as well as a passion for service. Strong organizational abilities. Experience with Microsoft Suite as well as working knowledge of email and internet applications.
