The Executive Assistant is responsible for providing administrative and secretarial support to the Company's Leadership Team. This role is a key member of the administrative team and leads all administrative efforts for Elicio's Leadership team.

The person in this role will coordinate a high level of appointment scheduling, meeting notation, travel arrangements, expense reimbursement, meeting coordination, preparing presentation materials, and assisting with office and company operational needs.

Elicio (ELTX) is a growing organization based out of the Seaport area of Boston, Massachusetts with additional staff functioning in a virtual based environment from the Greater Boston area and throughout the United States.

Major Duties/Responsibilities

Provide administrative support to Elicio's Leadership Team

Proactively manager calendars with the ability to schedule and prioritize meetings, resolve schedule conflicts, and ensure efficient and positive experiences for attendees

Manage and prioritize internal and external communications for key stakeholders

Handle confidential and proprietary information with discretion

Manage specific vendors

Coordinate both onsite and offsite meetings for the Leadership team

Coordinate and organize travel, hotel accommodations, car service, preparation of itineraries/materials, etc.

Schedule numerous weekly meetings

Assist with company administrative duties, including office management/Human Resources tasks as needs arise

Responsible for taking notes and minutes in key meetings

Act as a point person for visitors, executives, and investors Education & Professional Experience

Required:

Minimum of 2 years of related experience with a Bachelor's degree or 4 years of related experience without a secondary degree

Prior biotech experience, preferably supporting leadership teams

Prior experience in an Executive Assistant role

Work experience with a public company is desirable but not required Skills

Strong computer, scheduling and coordination skills

Ability to be proactive and a comfort with working remotely when necessary

Proficiency in Microsoft Office, Outlook, Zoom and MS Teams

Ability to work with onsite, hybrid and remote employees

Excellent communication skills; the ability to collaborate effectively with cross-functional teams, vendors and internal and external partners

Strong team player with the ability to work in a fast-paced environment, manage competing priorities, while filling gaps as needed

Strong problem-solving skills and self-motivated with the ability to work under pressure to meet deadlines

Ability to prioritize and manage through complex processes/projects

Effective in promoting and maintaining productive internal and external relationships

Flexible and creative to meet the needs of a growing, dynamic company

Working Conditions: Busy office/laboratory environment with frequent deadlines and interruptions

Travel: Travel is not required

Physical Requirements: Subject to periods of sitting or standing, vision is required to monitor data.

Work Location: This role can be onsite, hybrid or remote.
