DEFINITION

Under general supervision, provide a wide variety of duties related to the operations of the City Attorney's Office. Assume independent judgment with minimal direction by the City Attorney and/or Supervisor and must be able to handle confidential matters with a high level of judgment.

Examples of Duties

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITES

Serve as a representative of the City of Mesquite, demonstrating a positive attitude and progressive actions through the display of professionalism, courtesy, and appropriate tact and discretion in all interactions with other employees and with the public.

Respond to and assist with calls from the public, court, and attorneys; accurately distribute correspondence and other communications received; receive inquiries and concerns on behalf of the City Attorney's Office.

Create, organize, and maintain department filing and case management records systems.

Perform administrative duties such as filing, copying, scanning, & shredding.

Draft and file correspondence, forms, documents, and pleadings.

Assist with preparing criminal discovery packets for mailing to defendants and their attorneys in criminal cases, including creating discovery letters, scanning, redacting, arranging trial exhibits, witness statements, body camera, and surveillance DVD burning, and all other appropriate discovery documentation.

Assist with preparing subpoenas for issuance and service in trials.

Assist with day-to-day operational activities within the City Attorney's Office.

Be dependable and always meet acceptable attendance requirements.

Track, store and destroy files.

Follow all applicable safety rules and regulations.

Must be able to pass and complete all NCJIS and NCCIS training certifications and background requirements. OTHER JOB FUNCTIONS

Assist in departmental operations assigned.

Protect confidential information by preventing unauthorized release, both verbal and/or writing.

Perform other related duties as assigned.

QUALIFICATIONS

The degree of knowledge and ability as outlined under this section is that which is necessary to satisfactory perform the essential functions of this position.

Knowledge of:

Basic City Attorney Office functions.

Proper dissemination procedures of documentation.

English usage, spelling, grammar, punctuation; business letter writing and basic report preparation techniques.

Modern office practices, operations, administrative procedures and methods, telephone and reception techniques, and computer equipment, programs, applications and uses.

Computer software used in a law office general municipal or governmental legal office practices and procedures.

Organization, procedures, and operating details of a municipal government.

Customer service needs and delivery. Ability to:

Perform a range of secretarial work involving the use of independent judgment and personal initiative.

Ability to multitask.

Attention to detail.

Work independently in absence of supervision.

Operate and utilize modern office equipment and software.

Communicate clearly and concisely, both orally and in writing.

Organize and maintain accurate files and records. Experience, Education and Training:

Any equivalent combination of training, education and experience which provides the individual with the required knowledge, skills, and abilities to perform the job. A typical way to obtain the required knowledge and abilities would be:

Education: High school diploma or GED

Experience: One year of clerical or receptionist experience

License or Certificate: Must possess at the time of employment and continuously throughout employment a valid Nevada or "border state" driver's license, as defined by NRS 483.

WORKING CONDITIONS

Work is performed under the following conditions:

Duties require sufficient mobility to work in a typical office setting and use standard office equipment; sustained posture in a seated position for prolonged periods of time; vision to read printed materials and a VDT screen, and hearing and speech to communicate in person or over the telephone. Physical exertion required due to occasional walking, standing, bending, stooping, and reaching. Must be able to handle stressful situations, attend some breakfast, lunch or evening meetings and travel to off-site facilities. Must be able to carry/lift/push or pull loads of up to 25lbs.
