Job Summary
The Estate & Inheritor Services Specialist is a dedicated resource within Client specialized team that supports clients during the inheritance process. This role serves as a Subject Matter Expert, assisting Wealth Management clients, Financial Advisors, Client Service Associates, and Branch Management in facilitating the transition of assets through inheritance and legacy transfers. The Specialist also collaborates closely with branches and internal departments, processing paperwork in a virtual branch environment while providing exceptional client service.
Key Responsibilities
Provide one-on-one support throughout the inheritance process with strong relationship management skills.
Proactively communicate with clients and beneficiaries by phone and email, ensuring transparency and empathy.
Process and follow up on client service requests to ensure timely completion.
Set realistic expectations aligned with internal Service Level Agreements and ensure consistent follow-up.
Deliver world-class customer service to internal and external clients.
Research and resolve problems promptly and accurately, escalating when necessary.
Use Client systems to document all case interactions thoroughly.
Manage and monitor daily caseload using technology tools and resources.
Apply firm verification policies to protect against identity theft and fraud.
Stay informed on SEC/FINRA, Compliance, and Firm guidelines, applying them to risk mitigation in all processes.
Perform other duties as assigned.
Required Qualifications
College degree preferred.
3-4 years of experience in the financial services industry, preferably involving client service, estates, trusts, retirement plans, account opening, and asset distribution.
Strong clerical and administrative skills.
Effective written and verbal communication abilities.
Excellent interpersonal and client service skills.
Strong organizational skills with meticulous attention to detail and follow-up.
Ability to research, resolve, and escalate issues appropriately.
Capacity to efficiently manage high volumes of requests in a fast-paced environment.
Proficient computer skills, including Microsoft Office Suite.
Basic knowledge of Client systems and procedures.
Self-motivated, team-oriented, and able to thrive in a high-activity environment.
Preferred Qualifications
Series 7 and 66 licenses preferred (or Series 63 & 65).
Certifications
Series 7 and 66 preferred, or Series 63 & 65 acceptable.
Education: Bachelors Degree
