Office Manager (Preferred Accounting Experience)

We are seeking a highly organized, tech-savvy, and resourceful Office Manager to join our Irvine-based corporate team. This position plays a vital role in maintaining smooth office operations, supporting our executive leadership team, and contributing to company-wide administrative efficiency.
Key Responsibilities:
Office Operations & Support
Oversee daily office operations for a corporate team of 10+ staff members.
Order and manage office supplies, equipment, and vendor relationships.
Coordinate facility maintenance, repairs, and service providers.
Credit Card reconciliation and expense tracking.
Assist the accounting team with Accounts Payable (AP) tasks, such as invoice processing and payment entry.
Provide backup support for Accounts Receivable (AR), including applying payments, generating statements, and assisting with reconciliations when needed.
Serve as a backup to staff accountants during absences or high-volume periods. Administrative & Executive Assistance
Provide direct administrative support to C-suite executives (CEO, COO, CFO, CHRO), including managing calendars, coordinating meetings, arranging travel, and preparing expense reports.
Prepare internal communications, reports, and meeting materials. Presentation & Communications Support
Assist in preparing visually appealing presentations using PowerPoint, Canva, and other digital tools.
Create internal memos, flyers, and communication materials for office-wide initiatives and events.
Support planning and logistics for leadership meetings and employee engagement events. Technology & Software Proficiency
Maintain strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Confidently use Canva and other presentation or graphic design tools to support internal communications.
Collaborate with HR, IT, and Operations teams on corporate projects requiring administrative coordination. Benefits:

Requirements
Qualifications:
3+ years of experience in an supporting an office as an Executive Assistant, or high-level administrative support role.
Proficient in Microsoft Office Suite, with emphasis on Outlook, Excel, Word, and PowerPoint.
Skilled in Canva and similar presentation or communication design platforms.
Bachelor's degree in accounting, Finance, Business Administration, or related field, or associate degree with 3-5 years of property management accounting experience.
High attention to detail, with ability to prioritize and manage multiple tasks independently.
Professional, friendly, and solution-oriented demeanor.
Ability to handle sensitive and confidential information with discretion. Preferred Qualifications:
Experience supporting C-suite or executive leadership.
Experience in healthcare, senior living, or professional services preferred.
Basic accounting knowledge, including experience with AP/AR processes and reconciliations.
