About the Company: The company is a publicly-traded (Nasdaq) pharmaceutical and medical technology company developing novel treatments and diagnostics for central nervous system cancers.
Position Summary: The Senior-Level Executive Assistant is responsible for supporting the President and CEO full time onsite at the company’s satellite office in Charlottesville, Virginia, (~90 miles south of Washington, DC). This role will require the candidate to have Senior-Level Executive experience and must have strong experience supporting top level executive(s) in a publicly-traded Company.
The successful candidate must have a demonstrable track record and related references documenting the candidate's ability to provide timely and accurate support in all areas of responsibility with complete confidentiality and discretion at all times.
As the Senior-Level Executive Assistant, you will coordinate and execute a broad array of administrative support tasks (travel, calendar management, executive access and meeting requests, board interactions & meetings, corporate events, and a variety of projects). Furthermore, the successful candidate should have familiarity with public company reporting, legal, compliance and financial timelines ABOUT YOU: You have been an executive assistant to a senior leader of a publicly-traded company, so you are comfortable working in a dynamic, fast-paced environment.
Your past roles have exposed you to or have required you to: · Understand the needs and personal preferences of a public company President & CEO sufficiently to comfortably make decisions autonomously and anticipate how to provide support.
· Be a forward-looking thinker, who actively seeks opportunities, proactively proposes solutions, and consistently meets deadlines.
· Be proactive in anticipation of problems, ask questions and seek clarifications when the situation requires.
· Be a resourceful team player but also enjoy working independently at times.
· Possess a high attention to detail, accuracy and have a strong and extensive background in office and executive administration.
· Understand the importance of confidentiality and discretion in a variety of settings and with a broad set of constituents.
Essential Duties and Responsibilities: Administrative Responsibilities: · Anticipate Needs and Preferences: The ideal candidate has the exceptional ability to anticipate the needs and preferences of the Executive.
This means not constantly relying on him for direction, but having the foresight to predict and plan.
· Compose, prepare or process correspondence and various documents that are often confidential, which require a sense of discretion and protection to the organization.
· Assist in preparation of Microsoft Office365-based deliverables, including processing changes and final format of various documents in Word, PowerPoint, and Excel.
· Research, prioritize, and follow up on incoming issues and concerns addressed to the team.
· Provide sophisticated calendar management: Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
Keep the Executive updated on upcoming meetings, events or changes to his schedule.
· Serve as the administrative liaison to others in the Company and with clients.
· Travel Arrangements: From booking flights and hotels to sorting out ground transport, facilitating and ensuring the Executive has complete and updated itinerary prior to travel, continue to monitor travel arrangements for last minute changes - ensuring CEO is updated to all changes.
· Process Expense Reports and submit through the proper channels on a timely basis to ensure reimbursement · Prepare correspondence, corporate forms, documents, spreadsheets, presentations and reports.
· Prepare, compile and assemble materials for the Board of Directors meetings, Board committee meetings, audit committee meetings on a quarterly basis or more frequently as needed; · Coordinate cross-functional initiatives, projects and key events for the company including virtual and in person board and management meetings; · Provide monitoring and follow-through support on action items in progress; · Manage office operations, IT, office supplies and keep breakroom organized and stocked; · Oversee all aspects of the office including vendor relations and liaison for the landlord; · Work with discretion and tact when exposed to confidential information; · Project a professional, friendly and supportive image; · Perform additional duties as required.
Project Management Responsibilities: · Analyze project standards, methodologies, and impacts with detailed Project Plans, which will include all required activities, tasks, issues, and resources requirements, leading to a successful and timely project completion.
· Provide regular project status reports as required, working and communicating with project team members as needed.
· Develop and report appropriate project metrics.
· Work with operations leadership to determine, analyze, and formulate good practices, workflow processes, issues, and potential solutions on projects.
ADDITIONAL REQUIREMENTS: · Given the nature of this position, candidates should be prepared to provide responsive support, including occasional evenings and weekends.
· Core work schedule will be Eastern Standard Time Zone · Significant executive support experience in Publicly Traded Organizations, including supporting C-level executives, and a minimum of 7+ years’ experience working with C-level executives in a fast-paced environment.
· Have a bachelor’s degree in business administration or finance, preferred.
· Experience working in a publicly-traded Biotech, Life Science, or Pharma industry highly preferred.
· Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
· Very strong interpersonal skills and the ability to build relationships with staff, board members, external partners and investors.
· Expert level written and verbal communication skills.
· Highly tech savvy and exceptional proficiency in Microsoft Office365; Proficiency in Microsoft Word, Excel, PowerPoint, Teams and Outlook · Familiarity with Cloud based sharing and storage · Eager to learn new software applications · Familiarity with online meeting technology and software Mental Demands: Ability to make sound decisions despite intangible variables; Ability to work under stressful deadlines; Ability to focus and approach tasks objectively and apply sound judgment; Expertise, self-confidence and humility to withstand critique of programs and policies.
Physical Demands: Mobility to work in an office setting and to use equipment commonly found in the office environment; Vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone.
The essential functions of the job are usually performed in an environmentally controlled facility where the noise level in the work environment is usually moderate.
This position may involve a combination of home office, in-office and laboratory environments and automated equipment.
