Job Purpose:
The Project Coordinator (PC) is responsible for directing, organizing, and controlling project activities under the direction of the Project Engineer (PE) or Project Manager (PM) and Service team.
Essential Functions, other duties may be assigned.
Consistently able to work in the office during the hours of 8am -5pm Monday Friday.
Attends All Employee Meetings as scheduled.
Providing administrative services to assist the PE/PM on the New and Remodel Commercial Construction projects from buy out to close out
Other administrative duties assigned may include; printing, binder organization, booking travel, meeting coordination, assisting in training on administrative tasks for new hires, editing and creating documents for Operations team
Gathering required documentation, set up projects in tracking system and create job files
Confirming ETA dates / arrival times for various materials/deliveries
Prepare and send purchase orders and subcontracts
Create and process Owner and subcontractor change orders
Request and track subcontractor insurance certificates and bonds, review certificates for compliance
City / state specific licensing and permit required documentation assistance
Prepare final lien waivers to release retainage at closeout of a project
Assist with keeping vendor information updated and current in Accounting software
Requesting W-9, COI documents and Lien Waivers
Review subcontractor pay applications for payments and work closely with accounting to ensure proper payment to vendors / subcontractors
Phone conversations with vendors, suppliers, subcontractors and clients based on the needs of the PE or PM for assigned projects
Scan and file documents into project files & Pronovos (CMS)
Coordinate with field personnel utilities, storage units, job trailer, dumpsters, portable facilities
Qualifications and Requirements
Dependable, independent self starter who takes responsibility for the quality of work provided
Ability to manage frequently changing priorities
Ability to maintain confidentiality concerning financial/client information
Ability to initiate and drive process improvements
Comfortable working independently with minimal supervision and within tight deadlines
Understanding of basic accounting
General knowledge of the construction industry - not required but highly desired
High level of proficiency in MS Office Suite (Word, Excel, Outlook)
Excellent communication skills and ability to interact with all levels of management and customers / clients
Attention to detail
