Summery:

The Project Assistant will provide documentation control and administrative support to the project team, ensuring efficient management of records, correspondence and reporting across multiple projects. This role is key in maintaining project documentation integrity, supporting the project team and ensure smooth coordination for large scale developments including high-rise towers and landed projects.

Document Control & Records Management:

Maintain central filing and document control system for drawings, RFIs, correspondences and approvals.

Track, log and archive submissions and revisions with proper version control;

Ensure project documentation is up to date, accessible and audit-ready

Project Administration & Coordination

Provide daily administrative support to project managers and the development team;

Assist in preparing letters, memos, presentations and filing;

Monitor project calendars, deliverables and milestone tracking.

Department Administration & Support

Manage department records, meeting schedules and internal communications;

Support budget tracking, training schedules and leave/attendance coordination;

Assist with onboarding new staff and departmental workflow improvements.

Reporting & Data Management

Compile weekly/monthly progress reports, dashboards and status updates;

Maintain registers (drawing, procurement log, site instructions);

Assist in collating project performance data for management review

Meeting, Communication & Stakeholder Support

Schedule project and department meetings, prepare agendas, minutes and action trackers;

Coordinate information flow between consultants, contractors and internal teams;

Ensure timely distribution of documents and updates to stakeholders

Handover & Closeout Documentation

Compile as-built drawings, warranties and operation & maintenance manuals for project handover;

Support defect management process and DLP documentation;

Ensure complete and well-archived closeout files for long-term record

Education & Experience

Diploma or Bachelors Degree in Business Administration, Construction Management or other equivalents;

2-5 years of experience in document control, project admin or departmental support (real estate/construction preferred);

Knowledge of document management platforms is an advantage;

Familiarity with documentation and file organization workflow is an advantage.

Skills:

Excellent organizational skills and documentation skills;

Proficient in MS Office Suite (Word, Excel, PowerPoint);

Strong communication (written & verbal) and interpersonal abilities;

Detailed-oriented with ability to multitask effectively;

Team player with proactive problem-solving mindset;

Detail-orientation and able to multitask;

Open to travel.

Working hours: Up to 40-44 hours per week; primary work days are

Monday to Friday with work outside of official hours will be required on occasions, particularly for events where live shots and editing are required.

Location: Siem Reap & Phnom Penh.

Reports to: This position reports to the Project Manager.
