Overview
as a Tender Management Coordinator you oversee and structure the tendering process in EMEA for our direct sales teams, from identifying opportunities to submitting winning bids. This role involves researching potential contracts, developing a central document and content database, coordinating with our sales and operational teams, and ensuring compliance with client requirements.
Professional Qualifications
Education and Experience
Bachelor's degree in a relevant field (e.g., Business Administration or a related field) or an apprenticeship in an administrative position.
Experience in all stages of the tender process, including identifying opportunities, coordinating bid teams, managing timelines, and ensuring compliance with requirements.
Experience building a multi-lingual database of tender components such as technical specifications, compliance and certification documents.
Experience with approvement procedures and ability to structure these internally with redundancy.
Developing compliant tender submissions, often involving cost estimation, technical specifications, financial and delivery terms.
Stakeholder management with various internal teams (e.g., sales, engineering, legal, finance) and external parties (e.g., clients, partners).
Experience in hardware technology markets is preferred
Experience with public sector tenders is preferred (e.g. Universities, Government)
Understanding contract law, procurement processes, and relevant regulations.
Years of experience: Minimum of 3-5 years in tendering, bid management, or a related role. International experience is a plus.
Excellent communication skills in English with plus for German (verbal/written).
Further languages such es French can be an advantage.
Position Responsibilities
Specific
Identifying potential tender opportunities aligned with the company's capabilities and strategic goals in cooperation with our regional sales teams.
Creating winning tender strategies, including the creation and collection of pricing, technical specifications, financial and delivery terms.
Coordinating the preparation and writing of compelling and compliant tender proposals together with our sales and support teams.
Developing and maintaining a multi-lingual database of tender documentation, certifications and supporting documents to increase time efficiency and create redundance across the territory.
Reporting into the organization the success rates and factors of our submissions as well as providing insight and recommendation on how to mitigate loss or obstructions.
Developing and managing tender funnel and status reporting for GmbH and HQ management.
Providing support during the evaluation and negotiation phase and ensuring a smooth handover to the delivery team.
As an integral part of the EMEA sales team, providing input on commercial strategies as well as competitor movements will be key.
