This position is responsible for managing a variety of HR processes, maintaining accurate employee records, supporting benefits administration, and ensuring compliance with applicable laws, regulations, and district policies. The HR Administrative Assistant serves as a point of contact for staff regarding HR-related inquiries and ensures efficient day-to-day operations of the HR office.
Essential Duties and Responsibilities
Provide general administrative support to the Director of Human Resources, including scheduling, correspondence, document preparation, and filing.
Maintain and update the HR database, including the Allotment Chart and Stipend Spreadsheet, ensuring accuracy and timely entry of information.
Enter and maintain employee data in the RDA payroll system, ensuring compliance with payroll deadlines and accuracy of records.
Administer and track Family and Medical Leave Act (FMLA) requests, ensuring proper documentation, communication, and compliance with federal and state requirements.
Process Short-Term Disability claims for hybrid employees, coordinating with employees and providers to ensure timely submission and follow-up.
Assist with Workers’ Compensation claims, including incident reporting, follow-up with providers, and coordination with insurance carriers.
Prepare and submit enrollment packets to benefit providers, ensuring completeness and accuracy.
Maintain confidential employee records in accordance with applicable privacy laws and district policies.
Assist with onboarding new employees, including preparing new hire packets, processing required documents, and updating systems.
Provide information and assistance to employees on HR-related topics, benefits, and procedures.
Support HR reporting requirements by compiling data and generating reports as requested by the Director of Human Resources.
Perform other related duties as assigned to support the efficient operation of the Human Resources department.
Knowledge, Skills, and Abilities
Knowledge of HR principles, policies, and procedures, including FMLA, Workers’ Compensation, and employee benefits administration.
Proficiency in data entry and database management, with high attention to accuracy and detail.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong organizational skills, with the ability to manage multiple tasks and meet deadlines.
Excellent interpersonal and communication skills, both written and verbal.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and able to quickly learn and utilize HR software systems, including RDA and other district platforms.
Ability to work collaboratively in a team environment and provide exceptional customer service.
Education and Experience
High school diploma or equivalent required; Associate’s degree or higher preferred.
Minimum of three (3) years of administrative support experience, preferably in a Human Resources setting.
Experience with payroll systems, HR databases, and benefits administration preferred.
