POSITION TITLE: Impact Coordinator DEPARTMENT: Impact Team REPORTS TO: Chief Impact & Strategy Officer LOCATION: Columbus, OH POSITION SUMMARY We are seeking a detail-oriented, proactive, and highly organized Coordinator to support the planning, execution, and communication of key projects and initiatives for the Impact team at JewishColumbus.

This role is ideal for someone who enjoys a fast-paced environment, collaboration, and ensuring that timelines and goals are met effectively.

Reporting to the Chief Impact and Strategy Officer, the Impact Coordinator will work with and support all members of the Impact Team.

ESSENTIAL FUNCTIONS Proactively organize, monitor, and manage project timelines, deliverables, and milestones to ensure timely and successful execution.

Coordinate meetings and events by scheduling logistics, preparing agendas, documenting detailed meeting notes, and tracking follow-up action items to completion.

Support the development and refinement of reports, presentations, and internal/external communications to ensure clarity, accuracy, and alignment with organizational goals.

Maintain well-organized, up-to-date records and documentation systems for easy access and retrieval.

Provide comprehensive administrative support, including calendar management, document formatting, proofreading, and drafting correspondence.

Maintain and regularly update contact lists for Impact Committees, Security Trustees, and program attendees to ensure accuracy and accessibility.

Plan and execute logistics for meetings, events, and presentations, including space reservations, catering arrangements, RSVPs, and preparation of meeting materials.

Oversee event-related coordination such as managing guest lists, RSVPs, and name tags, and ensuring timely distribution of post-event communications and materials.

Process expense reimbursements and mileage reports, ensuring compliance with organizational policies and timelines.

Track and coordinate vendor invoices and payments in collaboration with finance staff to ensure timely processing and accuracy.

Arrange travel accommodations—including flights and hotels—for speakers, guests, and conference attendees in a timely and cost-effective manner.

Source and coordinate thoughtful gifts for host families, lay leaders, and speakers, reinforcing the organization’s culture of appreciation.

Provide basic technology and audiovisual setup for meetings to ensure seamless presentations and discussions.

Manage life cycle event acknowledgments by preparing and sending timely, personalized cards to partners and stakeholders.

Monitor key developments and follow up on priority issues related to the Government, Faith, and Education portfolios, ensuring timely communication and action.

REQUIRED QUALIFICATIONS & EXPERIENCE Bachelor’s degree preferred, relevant coursework or major in business administration, communications, nonprofit management, or a related field preferred.

3–5 years of experience in administrative support, project coordination, or operations, preferably in a nonprofit, missiondriven, or fast-paced organizational setting.

Proven success in managing multiple priorities and deadlines with strong organizational skills, effective multitasking, and the ability to adapt quickly to changing needs.

Demonstrated ability to work both independently and collaboratively, using sound judgment and a proactive approach to problem-solving.

Experience coordinating meetings, events, and travel logistics, including scheduling, agenda preparation, AV setup, materials, RSVPs, and follow-up communications.

Skilled in developing and editing professional communications, reports, and presentations with excellent written and verbal communication skills.

Familiarity with expense reporting, invoice processing, and maintaining organized documentation and contact records.

Comfortable supporting senior leaders and cross-functional teams, including handling confidential information with discretion and integrity.

Strong customer service orientation, with the ability to build trust and maintain effective partnerships across internal teams, external partners, and community stakeholders.

Proficiency in technology platforms, including video conferencing tools (e.g., Zoom, Teams), Microsoft Office Suite, and database or CRM systems.

Willingness and availability to work occasional evening and weekend hours as needed to support events or time-sensitive projects.
