Japanese / English Bilingual Coordinator of Expat Affairs

Covington, GA

Position summary:

This position is responsible for the daily operation of General Affairs, implementing internal control, Visa, company support and support of HR department.

List of Key Tasks / Primary Responsibilities:

General Affairs by supporting CSR (Company Social Responsibility) activity: by drafting and supporting legal matters such as corporate law and J-SOX; by maintaining company’s leased cars including the judgment as to where to be leased from; by supporting Director of Administration; and other general affairs matters

Implementing and maintaining an internal control system by documenting and stabilizing an internal control system to the whole company; by creating answers to questions from Headquarter in Japan as to internal control.

Visa: Visa and control; gather info and create documents that attorneys need for visa application procedure; monitor visa status of each Japanese employee in GA and MI; communicate with immigrant law attorneys whenever an issue arises.

Japanese Support : Arrange hotel/apartment for the guests from Japan; arrange air tickets and rent-a-cars; handle expenses/payments relating to guests; teach Japanese staff American culture/custom (i.e. driving rules, how to shop, how to pay tips in a restaurant, general conversation in English, etc.)by planning the visit and to support their activities from GA.

Supports HQ in Japan by assisting in the coordination program of English Training (POET) from HQ in Japan including the judgment of residence; by acting as an interpreter; by assisting newly transferred employees from the parent company with personal living arrangements such as housing application procedures, telephone and utilities; by supporting persons from HQ in Japan or other affiliate companies in cost effective manner; by arranging VISA acquiring and renewal process for employees from the parent company; teach American culture/custom (i.e. driving rules, how to shop, how to pay tips in a restaurant, general conversation in English, etc.); handle all the expenses relating POET such as tuition, rent, leased cars, etc.; act as an emergency contact for them; handle any emergencies or problems they encounter; and act as a liaison between affiliate companies regarding POET.

Translation/interpretation : To translate/interpret to support communication between company supporters and employees or distribution of company information; translation - translate documents from Japanese to English and from English to Japanese such as accident reports, surveys sent from HQ in Japan, Manufacturing department standard work procedures, documents/letters in English that Japanese staff do not understand well, visa related documents, etc: interpretation - act as a liaison between American and Japanese whose English efficiency is not sufficient enough to communicate well with American such as meetings, phone conversation, plant visits, hospital visits, etc.

Manages Time and Resources by using tools provided by the Company (phone, fax, e-mail) in order to maximize productivity and to accomplish tasks on time.

Keeps Management Informed by participating in meetings; and by reporting problems to Management verbally or in writing in order to avoid confusion and further problems.

Performs General Administrative Duties by writing and distributing reports and other correspondence; by distributing mail and faxes when necessary; by accurately filing and maintaining documents; by making copies; and by performing other administrative duties as needed.

Upholds Standards of Quality, Cost, and Safety by following the Company's standards and guidelines for maintaining quality, cost, and safety; by taking initiative to make these points top priority at the Company; by immediately reporting any conditions that do not uphold the standards of quality, cost, and safety to the Supervisor or Management; and by making suggestions for necessary improvements to uphold these standards as necessary.

Supports Human Resources Functions by answering inquiries about Staff and providing information to authorized persons; by providing information to outside companies to ensure the administration of Staff benefits, etc.; by performing any clerical tasks necessary to support Human Resources.

Required Skills and Knowledge:

Language Skills

Ability to read, analyze, and interpret general business documents, forms and instructions in English and Japanese.

Ability to write reports, business correspondence, and procedure manuals in English and Japanese.

Ability to effectively respond to questions from Management, Staff, clients, and the general public in English and Japanese.

Ability to communicate verbally and in writing to individuals and groups in English and Japanese.

Mathematical Skills

Ability to apply concepts of basic algebra and geometry and to draw and interpret bar graphs.

Reasoning Skills

Ability to apply knowledge and sense of understanding to carry-out detailed written or oral instructions.

Ability to deal with problems involving several concrete variables in situations where only limited standardization exists.

Ability to analyze and use various documents (contracts, purchase orders, etc.).

Computer Skills

Ability to use a computer and such applications as Microsoft Windows, Word, Excel, Outlook, and PowerPoint and be able to design custom reports as necessary.
