Job Description

Purpose: The successful applicant will provide high-level clerical and administrative support to credit union management and departments. This role involves managing communications, scheduling, document preparation, and maintaining records, while ensuring confidentiality and professionalism in all interactions.

Duties/Responsibilities:

1. Process daily correspondence and prepare reports for the credit union management and departments, while ensuring accuracy of work.

2. Prepare and assemble letters, memos, reports and presentations.

3. Maintain filing systems and manage incoming/outgoing correspondence.

4. Answer telephone calls, communicate information or resolve questions, and/or route calls to appropriate individuals. Take messages and coordinate follow through.

5. Answer the door phone greet and welcome visitors to the credit union in a courteous, professional, and timely manner.

6. Distribute incoming correspondence to include US mail & interoffice mail. Research and respond to questions, provide back-up information where required, and route accordingly. Coordinate follow through on correspondence pending.

7. Process payments/deposits received via US mail.

8. Perform specialized or confidential administrative duties, including researching data and preparing reports as needed.

9. Enter and manage data in internal systems such as SharePoint and Share Drives.

10. Use computer programs, duplicate, and disseminate materials for board meetings, including agendas, minutes, and committee reports.

11. Distribute informational mailings and articles to the board of directors, management, and others.

12. Scan/copy and store documents when necessary.

13. Monitor and maintain the inventory of regular supplies to include ordering so that the credit union functions efficiently and without interruption.

14. Coordinate staff events and internal communications.

15. Report any problems or concerns to the Training Manager.

16. Keep your work area and equipment clean and neat.

17. Perform other duties as requested by the Training Manager.
