Summary of Responsibilities

As our student community continues to grow, we are seeking a versatile Administrative Assistant to join our Student Services team. This role provides cross-functional support in registrar services, faculty file management for HR, and coordination with Career Servicesserving as a key liaison across departments to ensure smooth operations and student success.
Essential Job Duties
Registrar Support
Maintain accurate student records and track academic progress.
Assist students with understanding degree requirements and verifying graduation eligibility.
Manage appointment scheduling, process enrollment and transcript requests, and support academic events such as graduation ceremonies.
Ensure clear communication and confidentiality in all registrar-related tasks.
HR Assistance
Support the HR lead in collecting, verifying, and organizing faculty documentation (e.g., transcripts, licenses, employment forms).
Follow up on missing items and maintain a secure, well-organized HR filing system.
Generate standard reports and assist with compliance-related tasks as needed.
Career Services Support
Provide logistical and administrative support for career events such as fairs, employer panels, and workshops.
Coordinate event details, manage scheduling, and support day-of logistics.
Greet and assist students, answer questions about career resources, and manage advising appointments.
Use platforms like Handshake to post opportunities, track attendance, and support student engagement.
Collaborate with other departments to promote career-related programs and outreach.
Perform additional tasks as assigned by the supervisor
Required Qualifications
Bachelors degree in Business Administration, Human Resources Management, Communications, Psychology, Public Administration or other related fields.
Strong written and verbal communication skills. Must provide responsive, student-friendly service and communicate clearly with diverse audiences.
Skilled in Microsoft Office or Google Workspace
Detail-oriented with strong multitasking and scheduling skills. Able to prioritize effectively in a fast-paced setting.
Collaborative, reliable, and eager to support students and colleagues. Cultural sensitivity and a positive attitude are essential.
Flexible and proactive in navigating shifting priorities. Willing to learn and grow with evolving campus needs.
Work Schedule
9:00am to 5:00pm Monday Friday.
