About the Role
As an Admin Assistant, you will provide comprehensive, high-level administrative support to the Director of Hotel and Entertainment Operations as well as broader support to the shoreside Operations Team in Singapore. This role requires a proactive, highly organized, and detail-oriented professional who thrives in a dynamic, fast-paced environment. You’ll use a mix of business acumen, relationship management, operational planning, and problem-solving skills to ensure seamless day-to-day operations and exceptional service delivery across both Hotel and Entertainment functions.
Responsibilities:
Prepare executive-level presentations, letters, spreadsheets, agendas, meeting materials, and departmental communications
Provide direct administrative support including managing complex calendars, meetings, travel arrangements, and expense reports
Provide administrative support to the Director of Hotel Operations and Entertainment Operations during their on-site engagements in Singapore or aboard Disney Adventure
Serve as the primary point of contact for all office administrative responsibilities including phones, supplies, onboarding logistics, and correspondence
Manage logistics for consultants including travel, payments, and contractual obligations
Liaise with Immigration Compliance, and input/manage visitor/vendor information in systems such as SSG, SVAM, IRGS
Support onboarding, transfers, and separation processes for new and current cast/crew
Maintain company vehicle schedules and coordinate procurement needs (laptops, phones, etc.)
Provide backup support for department coordination during emergency procedures and act as the Record Information Management (RIM) Coordinator
Assist with event planning, event setup, and package receiving as needed
Exercise sound judgment in prioritizing tasks and anticipating the needs of leaders and team members
Partner with Operations Assistants across the fleet, contributing to ongoing process improvements
Handle special tasks and high-priority projects as requested
Manage all responsibilities with the highest level of discretion and confidentiality
Required Qualifications & Skills:
Minimum 5 years of experience supporting business executives in large organizations
Strong organizational and multitasking skills with extreme attention to detail
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Familiarity with SAP
Demonstrated ability to navigate complex schedules, prioritize independently, and remain flexible under pressure
Excellent verbal and written communication skills
Proven interpersonal and consultative skills with a collaborative, positive approach
Ability to manage multiple ongoing projects with efficiency and professionalism
High degree of discretion in handling sensitive and confidential matters
Passion for providing exceptional service to both internal teams and guests
Education:
Required: High school diploma or equivalent work experience
Preferred: Bachelor’s degree
