Job Title: Admin Support
Location: San Jose, CA (Onsite, 5 days a week)
Pay Rate: $28–$30 per hour
Type: Contract to Hire
Schedule: Monday–Friday, 7:00 AM – 3:30 PM
Essential Job Responsibilities
Perform word processing, spreadsheet creation, editing, and formatting using Microsoft Office tools.
Collaborate with foremen and field staff to complete and file daily reports.
Assist with monthly billing using internal company platforms and Excel.
Manage cloud-based storage of job files and documents, ensuring updates and accessibility over time.
Establish, update, and maintain organized records, files, and documentation.
Track and communicate progress on administrative tasks, sharing updates with relevant stakeholders.
Support problem-solving efforts and contribute to the development and execution of team goals.
Provide office and field assistance as needed.
Handle frequent phone interactions with customers during contract renewals.
Maintain and update the preventative maintenance contract customer database.
Track backflow tester certifications and test kits across all water purveyors.
Process all paperwork generated by backflow technicians.
Qualifications
1–2 years of experience in a professional administrative role.
Background in construction, plumbing, or HVAC industries is a plus.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Comfortable interacting with all levels of staff.
Positive attitude, reliability, and ability to work independently in a fast-paced environment.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook/Calendar).
