Virginia Family Dentistry is searching for a Benefits Administrator with previous experience in Human Resources.
The Benefits Administrator is responsible for managing employee benefits in a timely and accurate manner. This role includes ensuring compliance with federal and state regulations, maintaining benefits records, and researching and resolving any benefits related issues accurately and efficiently. The Benefits Administrator must be able to interact effectively with all levels of employees within the organization and works closely with Human Resources and Finance to ensure that benefit activities are executed smoothly and proficiently.
Compensation is contingent on experience.
ESSENTIAL FUNCTIONS
Administer and manage the employee benefit programs including health, vision, life insurance, disability, HSA/FSA, and 401(k) Plan. Facilitate employee enrollments in benefits, processing changes due to life events and managing terminations.
Process COBRA events, track enrollment and payments for terminated employees; monitor end end-of-coverage dates and ensure compliance with COBRA continuation requirements.
Compliance and Regulations: Ensure compliance with all applicable federal, state, and local benefits laws, including ACA, ERISA, and COBRA. Oversee annual ACA reporting.
Serve as the main liaison between the organization, employees, and benefit providers, resolving complex issues and ensuring high-quality service delivery. Respond to and resolve escalated employee benefit questions with professionalism and confidentiality in a timely manner.
Review benefits invoices for accuracy, reconcile monthly, and initiate payments to vendors.
Input new employees into HRIS/Payroll system and create time cards. Responsible for leading benefit overview sessions for new employees during orientation and collecting I-9 documents.
Maintain accurate benefits data within the HRIS/Payroll system, prepare reports and perform regular audits to ensure data integrity.
Lead the open enrollment process, including plan setup in the HRIS/Payroll system, communications, vendor coordination, and employee support.
Worker’s Compensation: Review accident reports and initiate claims to external vendors. Monitor and reconcile related billing.
Manage Employee Wellness Initiatives: Promote and send wellness communications to managers.
Audit Support: Assist with audits by providing necessary documentation and supporting information.
Support benefits-related projects such as plan design changes, system upgrades, and policy updates.
Support the Human Resources team with HR related matters and inquires, and other HR tasks as assigned.

REQUIRED EDUCATION AND EXPERIENCE
Experience working in Human Resources
PREFERRED EDUCATION AND EXPERIENCE
3-5 years of experience in benefits administration or a similar role
Experience with ADP Workforce Now
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
WORK ENVIRONMENT
Office-based
Ability to work under tight deadlines and may require extended hours, particularly during open enrollment periods
Regular interaction with HR, Finance, and other departments
PHYSICAL DEMANDS
The Benefits Administrator role requires the employee to regularly communicate in person, on the phone, and via email, and/or video conference. The employee is frequently required to stand, walk, stoop, bend, and sit. This job may require the employee to lift files and open file cabinets, and therefore, lift at least 25 pounds on an infrequent basis.
POSTION TYPE AND EXPECTED WORK HOURS
This is a full-time position. Hours of work are Monday through Friday, 8am – 5pm or 9am – 6pm with a one-hour break, generally, from 1:00 pm to 2:00 pm.
TRAVEL
Travel is typically not required for this position. However, the Benefits Administrator may be asked to travel to other Virginia Family Dentistry locations.
