Position Title: Accounting Assistant II

Reports To: Accounting Manager

Employment Type: Full-Time, In-Office

Department: Finance

Position Summary:

The Accounting Assistant II plays a vital role in supporting the mission of PTSD Foundation of America by ensuring accurate and timely execution of essential accounting functions. Reporting directly to the Accounting Manager, this position is responsible for performing daily accounting tasks, including payroll entry, accounts payable/receivable, donation recording, and credit card reconciliation, utilizing QuickBooks Online and DonorPerfect,and other assigned tasks.

Key Responsibilities:

Perform accurate and confidential data entry of weekly payroll.

Receive, process, and accurately record all monetary and in-kind donations (checks, cash, ACH, and gift cards).

Process accounts payable and receivable transactions; monitor and track recurring payments.

Manage credit card transactions and communication between the credit card platform and QuickBooks Online.

Maintain well-organized physical and electronic filing systems for financial documents and donor records.

Compile and organize financial data for internal reporting and audit, and tax return purposes.

Provide weekly QuickBooks & Excel reports to the Finance team.

Assist with gift card and check runs, ensuring accountability and accuracy.

Minimum Qualifications:

Minimum of 3 years of clerical experience in accounting or financial record-keeping.

Strong proficiency in Microsoft Excel.

Familiarity with donor management system, DonorPerfect preferred.

Skills and Abilities:

High attention to detail and accuracy in data entry.

Strong mathematical and analytical skills, including understanding of payroll and amortization.

Ability to work independently and prioritize tasks effectively.

Able to ask questions when needed for clarity and not make assumptions.

Excellent verbal and written communication skills.

Comfortable working in a standard office environment with manual dexterity necessary for physical filing, operating office equipment, including computers, printers, and 10-key calculators.

Able to maintain confidentiality and work with sensitive data.

Ability to understand and apply foundation and departmental policies and procedures accurately.

Willingness to learn and adapt to new processes, new systems, and software.

Strong desire to learn new skills and accept challenging opportunities.

Passion to work collaboratively in a team environment to accomplish shared goals.

Preferred Knowledge:

Accounting practices relevant to nonprofit and tax-exempt organizations.

Recordkeeping and statistical data management techniques.

Alphabetical and numerical filing systems.

Familiarity with Tax-Exempt Nonprofit organizations.
