Job Description

Mindful Care is seeking an experienced Billing Assistant to support the day-to-day operations of the Revenue Cycle Management (RCM) team. Candidates must have a minimum of one year prior experience to be considered. This position is responsible for assisting with medical billing workflows, claim submissions, payment postings, account reconciliations, and insurance follow-up to ensure timely and accurate revenue capture. The Billing Assistant will work closely with billers, coders, and other RCM team members to maintain efficient billing processes and exceptional customer service standards.

Responsibilities:

Claims Submission & Processing

Prepare, review, and submit both electronic and paper claims to insurance carriers.

Monitor claim statuses and follow up on unpaid, denied, or delayed claims.

Run and analyze reports on denied, locked, and unlocked claims to support issue resolution.

Escalate complex billing issues to senior team members as needed.

Insurance Verification & Patient Eligibility

Verify patient insurance coverage and eligibility prior to services being rendered.

Communicate with insurance companies to resolve claim issues and obtain required information.

Payment Posting & Reconciliation

Accurately enter payments, Explanation of Benefits (EOBs), and adjustments into the billing system.

Assist in daily reconciliation of payments and coordinate with internal accounting as necessary.

Manage and process patient refund requests with proper documentation and timely follow-up.

Patient Billing & Support

Assist in generating patient statements and collection notices.

Respond to billing-related inquiries from patients, insurance companies, and internal departments.

Administrative Support & Documentation

Maintain accurate records of billing activities in the practice management system.

Handle administrative tasks such as scanning, faxing, and organizing documents.

Manage all incoming and outbound billing-related mail and correspondence.

Support payer relations by documenting interactions, setting reminders, and helping with contract updates and organization.

Process Improvement & Reporting

Identify trends or recurring issues in claims or billing processes and notify leadership.

Collaborate with the billing team to improve efficiency and resolve barriers to payment.

Your Qualifications:

High school diploma or GED required; associate degree or relevant certification (e.g., medical billing or coding) preferred.

Minimum 1 year of experience in medical billing, RCM, or healthcare administration.

Familiarity with EHR/EMR systems and insurance portals.

Basic knowledge of healthcare billing terminology and insurance processes (commercial, Medicaid, Medicare).

Strong attention to detail, organizational, and data entry skills.

Excellent written and verbal communication skills.

Ability to manage time effectively and work both independently and collaboratively.

Proficiency in Microsoft Office Suite (Excel, Outlook, Word).

Schedule and Compensation:

Position Type: W-2, Full Time, 100% in Office

Hours: Monday-Friday 8am-5pm

Location: West Hempstead, NY
