Job Description
The Logistics Coordinator – Administrative is responsible for supporting the logistics team through accurate documentation management, effective communication with vendors and partners, and reconciliation of job records and invoices. This role plays a key part in ensuring smooth logistics operations by keeping documentation organized, assisting with timely billing, and acting as a communication hub between internal departments and external stakeholders.
Key Responsibilities:
Communicate with carriers, vendors, and internal teams to confirm job details, resolve issues, and ensure smooth operations.
Retrieve, review, and organize logistics-related documents such as bills of lading, proof of delivery (POD), invoices, and job orders.
Reconcile job records with invoices to verify accuracy and ensure billing aligns with services performed.
Track and follow up on missing or incomplete documentation from internal teams or external partners.
Maintain accurate and organized digital and/or physical filing systems for shipping and billing documents.
Input and update logistics data into spreadsheets, systems, or company databases as needed.
Assist with creating summary reports related to job activity, billing discrepancies, or documentation status.
Support internal teams by providing documentation or information needed for audits, invoicing, or dispute resolution.Company Description
