What You'll Do:
The Administrative Professional 2 will work under the direction of the Bureau of Regulatory Operations (BRO) administrator performing routine administrative and clerical tasks, assisting in development of new procedures aligned with program policies and providing recommendations regarding program activities. Additional duties include:
Answers and transfers phones calls, and all aspects of mail and scanning.
Reviews all program activities according to specified federal regulations and state policies and procedures.
Research and analyzes contract submission information and use of purchasing card.
Provides technical assistance and advice to administrators to aid in decision making.
Assist in routing documents and in making recommendations on requests for all programs.
Processes quarterly reimbursement requests for fiscal and other programs.
Serves as liaison between program and stakeholders related to meeting dates and agenda topics.
Prepares spreadsheets to assist program manager in monitoring grant and other funding expenditures and to track reporting requirements.
Participates in interdepartmental meetings and presents on all programs.
Schedules and maintain appointments via computer- based software, makes travel arrangements, maintains confidential files, transcribes minutes from meetings.
Drafts/types confidential correspondence, charts, graphs, transcribes from oral/written drafts of instructions via personal computer using state-provided software programs (e.g., Microsoft word, Outlook, PowerPoint) to maintain spreadsheets to track program spending & generate reports.
Logs and tracks correspondence and signature items received from procurement services.
Explains and furnishes program information to the public.
Prepares reports, memos and presentations.
Position Qualifications:
18 mos. exp. or 18 mos. trg. in secretarial/administrative professional field.
-Or completion of associate core coursework in secretarial science or business office applications from accredited career school or community college.
-Or 6 mos. exp. as Administrative Professional 1, 16871.
-Or equivalent of Minimum Class Qualifications For Employment noted above.
