Job Description
We are seeking a detail-oriented and experienced Accounting Clerk to join our team in the trucking and logistics industry. The ideal candidate will be responsible for maintaining financial records, processing transactions, and ensuring compliance with trucking-specific accounting practices. A deep understanding of QuickBooks is essential for this role
We are a small operation and our accounting and administrative tasks will need 12 - 20 hours per week. We are flexible on the normal work hours as long as payroll is prepared timely and our vendors are paid on time. Your potential work hours can be from Monday through Friday 7AM to 6PM with regular weekly hours preferred. It can also be two to five days per week depending on your schedule. The Company is an affiliated entity that works only for one customer. Your work location is an office in the customer's office the address is below.
Responsibilities:
Manage and reconcile accounts payable and receivable - one customer, 10 vendors including credit card charges.
Handle payroll processing and employee reimbursements - less than ten employees.
Prepare monthly financial reports and assist with year-end tax preparation.
Ensure compliance with DOT and FMCSA financial regulations where applicable.
Generate, review, and process invoices related to freight operations.
Maintain accurate records for IFTA reporting and mileage logs.
Collaborate with dispatch and operations to match load sheets to billing.
Track fuel receipts, tolls, per diems, and driver settlements.
Maintain detailed financial records for drivers, loads, and equipment expenses.
Requirements:
Proven experience as an accounting clerk or in a similar role.
Expert-level knowledge of QuickBooks (including invoicing, payroll, reconciliations, and reporting).
Familiarity with accounting procedures specific to the trucking or transportation industry.
Strong attention to detail and organizational skills.
Proficiency in Microsoft Excel and basic understanding of accounting principles.
Excellent communication skills and ability to work independently.
Preferred Qualifications:
Knowledge of QuickBooks is a must.
Previous experience in the trucking industry, the ins and outs of the industry.
Ability to prioritize and multitask
Excellent written and verbal communication skills
Strong attention to detail
Strong organizational skills
Preferred Bilingual in English and Spanish is a bonus.
Experience: At least 3-4 years accounting experience.
Company Description
We are a small trucking company that works for one customer, a large construction company that we haul bulldozers and other heavy equipment on their behalf. You would work agreed upon hours at the construction company office, as an employee of the trucking company but interact with construction company personnel. Bi-lingual a plus, friendly team atmosphere.
