Project & Portfolio Management Specialist

We're looking for a highly skilled Project & Portfolio Management Specialist to join our team and support the global internal audit business unit of a major financial institution. In this role, you will work closely with the Chief of Staff to drive operational excellence and strategic alignment across a diverse, global team. You'll be instrumental in coordinating action items, tracking commitments, and improving our project management practices to enhance efficiency and transparency.

This is a hands-on position for someone who thrives on creating structure and clarity within a critical function like internal audit. You'll be a key player in ensuring that our initiatives, from individual audits to our full portfolio, are executed effectively and that progress is clearly communicated to leadership.

What You’ll Be Doing:

* Project & Portfolio Management Governance: Serve as the central point of contact for tracking and coordinating action items and commitments across various global internal audit teams. You will ensure all stakeholders are aligned and accountable for their deliverables, managing project governance and maintaining a quarterly functional inventory.

* Reporting & Data Management: Leverage your expertise in Smartsheet and other tools to build and maintain comprehensive rollup reports and dashboards. You'll work to automate and connect Smartsheet instances to minimize overhead for the team, pulling data for different needs and providing leadership with clear, real-time insights into project status and key performance indicators. (Note: While Smartsheet expertise is a plus, a quick learner can get up to speed in just a few days using resources like YouTube.)

* Strategic & Operational Support: Assist the Chief of Staff in preparing for key meetings and presentations by synthesizing complex project data into clear, actionable summaries. You will manage and coordinate various operational tasks, including maintaining our tech strategy, updating branding decks, and managing the shared calendar and team vacation tracker.

* Meeting & Communication Facilitation: You will play a key role in the logistics of our operational cadence, from minuting key meetings (e.g., COO Weekly, Leads meetings) to coordinating agendas and pulling data for Business Review meetings. You will also manage meeting setups across different pods and lead the weekly agenda for the Business Unit Manager with the Core team.

* Relationship Management: Build and maintain strong relationships with a wide range of stakeholders, from technical teams to senior leadership, to ensure the reliability and success of requests over time. You'll also support the team by managing training initiatives and coordinating team social events.

What We're Looking For:

* Seasoned Professional: You have a proven track record of managing projects and portfolios in a complex, global organization and are able to handle multiple priorities at once with diligence and ownership.

* Smartsheet Expertise: You have extensive experience with project management and reporting tools, particularly Smartsheet, and can build insightful reports and dashboards that tell a clear story.

* Internal Audit Domain Knowledge: While you won't be an auditor, you have experience supporting internal audit teams and understand the unique challenges and processes involved in this function.

* Exceptional Communication & Relationship Skills: You are a natural communicator who can effectively engage with a wide range of stakeholders. You have strong presentation skills, including the ability to present to executives, and can build the relationships necessary for long-term reliability.

* Proactive & Adaptable: You are a self-starter who anticipates needs and is comfortable working in a dynamic, fast-paced environment. You are pragmatic and can adapt your approach to solve unique challenges as they arise, from managing a reorg PMO to supporting team hiring.
