Job Title: Purchasing Manager

Reports To: Director of Finance / General Manager

Job Summary:

The Purchasing Manager oversees the procurement and inventory functions for the hotel, including supervision of the receiving team, supplier relations, invoice coding, and inventory systems. This role ensures the timely and cost-effective acquisition of supplies and beverages while maintaining compliance with internal controls and inventory accuracy.

Key Responsibilities:

Supervise the hotel’s receiving team to ensure accurate and timely handling of goods.

Purchase all necessary supplies and beverage products in alignment with hotel standards and budget requirements.

Build and maintain vendor relationships to ensure competitive pricing and service quality.

Conduct regular inventory counts of supplies and beverages to maintain appropriate stock levels.

Review and verify receiving records to ensure completeness and accuracy in the purchase order system.

Upload and accurately code invoices received at the time of delivery.

Maintain organized and accurate records of warehouse and beverage inventory.

Ensure all requisition practices are properly followed across departments.

Lead and participate in monthly and quarterly physical inventories, investigating and resolving discrepancies.

Act as the administrator for procurement and inventory management systems.

Computer & Systems Experience:

Required:

General computer proficiency

Microsoft Excel

BirchStreet procurement platform

Preferred/Plus:

Partender (bar inventory platform)

COGS-WELL (food and beverage cost management)

Certifications:

ServSafe Certified (required or must obtain within a specified time of hire)
