Flanagan, Barone & O'Brien, LLC is seeking an experienced and highly motivated Legal Assistant to join our growing team. The ideal candidate is hardworking and detail-oriented and must have at least 5 years' proven work experience in litigation.
Responsibilities
· Provide administrative/legal assistant support to general litigation attorneys and enhance office effectiveness;
· Handle communication with court, counsel, clients, witnesses etc.;
· Proficient knowledge of filing/downloading procedures for pleadings, motions, etc. via electronic platforms
(eCourts, PACER, etc.);
· Process outgoing communications via mail, fax, email, etc.;
· Maintain and confirm attorneys’ calendars, including calendar coordination and tracking of litigation deadlines;
· Schedule depositions/subpoenas/independent medical examinations;
· Prepare and serve subpoenas for documents and witness testimony;
· Prepare and process letters for attorney review;
· Prepare basic legal documents, discovery requests and correspondence;
· Answer and direct phone calls;
· Organization of electronic files to ensure that case-related documents are easy located for review/reference;
· Maintain case list;
· Ensure that case-related documents are well organized and available for review; and
· Maintain and update case file information.
Skills
· Proven working experience as legal assistant/legal secretary;
· Familiarity with legal procedures/protocols and eCourts/PACER;
· Proficient in Microsoft Office, including Word, Outlook, Excel;
· Possess excellent oral and written communication skills;
· Ability to manage multiple priorities, meet deadlines and work under pressure;
· Must be detail oriented;
· Possess excellent organizational skills;
· Familiarity with legal terminology;
· Strong verbal and written communication skills; and
· Highly organized with document management experience.
