As the Manager of Facilities, Maintenance, and Capital Planning, you'll be a pivotal leader, overseeing all maintenance operations, capital improvements, and renovations across a portfolio of multifamily properties.

You'll ensure efficient, high-quality management of unit turns, major projects, and routine maintenance, while fostering a culture of excellence within your teams.

Responsibilities Team Leadership & Development: Recruit, train, and mentor maintenance supervisors, technicians, and renovation crews, fostering a culture of accountability, safety, and excellence.

Provide ongoing guidance, support, and performance evaluations, developing efficient schedules to optimize productivity and response times.Maintenance Program Development & Oversight: Develop, implement, and ensure adoption of comprehensive maintenance programs, including vendor relations, purchasing, preventative maintenance, and customer service protocols.

Monitor work order completion, ensuring adherence to time, efficiency, and budget standards.Renovations & Capital Projects Management: Oversee all aspects of apartment unit turns and renovations, ensuring timely and high-quality completion.

Plan, budget, and execute major capital expenditure projects (e.g., siding, roofing, parking lots, pools), coordinating with contractors and vendors to ensure projects are completed on time, within budget, and to required specifications.

Prepare detailed punch lists for new communities or projects, ensuring prompt resolution.Community Inspections & Quality Control: Conduct regular physical inspections of communities to evaluate exterior conditions, amenities, quality of service, and the effectiveness of preventive maintenance programs.

Oversee quarterly inspections of properties, supply inventory, and maintenance shops to ensure compliance with all operational standards, safety regulations, and building codes.Vendor & Project Management: Develop local and regional vendor partnerships, negotiate pricing discounts, and analyze potential discount programs to optimize costs.

Meet with contractors onsite to troubleshoot issues, approve necessary changes, and ensure compliance with contractual agreements.

Prepare and award contracts, and develop detailed scopes of work for property improvements.Budgeting & Financial Acumen: Partner with leadership on budget preparation, capital improvements, and property R&M expense accountability to achieve operational efficiencies and cost savings.

Create and implement both short- and long-term capital plans for each asset.

Manage inventory of parts, supplies, and equipment, ensuring adequate stock levels while minimizing waste.Construction Coordination: Collaborate closely with construction teams to address service issues, product quality concerns, and any construction-related matters impacting facilities.

Effectively manage and utilize warranties in collaboration with the Construction team and onsite Maintenance teams.Communication & Coordination: Communicate effectively with staff, tenants, vendors, and ownership.

Coordinate closely with office and on-site teams to ensure transparency, accountability, and smooth operations.

Requirements Experience: Proven experience (5+ years) in a senior maintenance or facilities management role, preferably within the multi-family residential or hospitality industry, with demonstrated experience in people and facilities management, strong leadership and mentorship abilities, and developing and executing strategic initiatives.Education: High School Diploma or GED required; Bachelor's degree preferred.

Technical training or certifications are a plus.Certifications: HVAC and EPA certifications preferred but basic knowledge is OK..

Relevant certifications (e.g., plumbing, electrical) are a plus.Skills:Leadership & Management: Strong leadership skills with demonstrated experience managing multiple teams and large-scale projects, fostering accountability and safety.

Ability to define and report on performance success metrics.Technical Proficiency: In-depth knowledge of building systems (HVAC, plumbing, electrical, structural), maintenance procedures, and renovation processes.

Proficiency in MS Office (Word, Excel, Outlook) is required; experience with Entrata or other digital maintenance/work order software is preferred.Organizational & Problem-Solving: Exceptional organizational and time management skills, with a proven ability to handle multiple assignments simultaneously and meet fluctuating, time-sensitive deadlines.

Excellent problem-solving skills.Communication: Strong communication skills, with the ability to communicate effectively in both English and Spanish (required for some positions).Financial Acumen: Strong financial acumen and experience with budget management, inventory control, and cost optimization.Cultural Fit: Belief in doing the right thing, working well together, delighting customers, enjoying work, and being results-driven.Travel: This position requires travel within Central Ohio; a valid driver’s license and reliable transportation are essential.Background Check: Ability to successfully pass a criminal background check is required.
