Job Description
Job Summary:
At INC Systems, we’re not your typical Managed Service Provider (MSP). Sure, we handle technology like pros, but we also believe work should be fun, collaborative, and just the right amount of ridiculous (in a good way). We put people first—technology is just the tool we use to make lives easier. Our team thrives in an environment where humor, teamwork, and problem-solving are part of daily life, and we need someone who’s ready to jump in and make a real impact. If you’re the type of person who color-codes their planner for fun, finds deep satisfaction in an organized inbox, and enjoys turning chaos into order, this might be your dream job. We’re on the hunt for a highly organized, detail-obsessed, and people-loving Office & Sales Administrator to keep our office running smoothly and support our rockstar sales team.
Day in the Life...
Your day kicks off with a team huddle, where we cover priorities and someone inevitably makes a joke that’s way too early for HR to hear about. You’ll then dive into admin duties—organizing schedules, handling emails, and ensuring the office doesn’t descend into anarchy (or run out of coffee). After lunch with your team (a mix of brainstorming, bad jokes, and debates over which streaming series is superior), your afternoon shifts into sales support mode. You’ll help prep quotes, update the CRM, follow up with clients, and make sure our sales documentation is on point. By the end of the day, you’ll have balanced admin work, sales support, and at least one victory dance after completing a tricky task.
What You’ll Be Doing (AKA Your Superpowers)
This role involves a balance of both office administration and sales team support.
Office Administration – Keeping Us on Track & Sane
Answer phones, manage emails, and ensure the right people get the right messages (aka, preventing email purgatory).
Maintain office supplies—because a world without sticky notes is not one we want to live in.
Schedule meetings, keep calendars organized, and remind people they actually have a meeting.
Help leadership with administrative tasks and look like an absolute genius while doing it.
Oversee incoming and outgoing mail (yes, real mail still exists).
Keep digital and physical records organized—Marie Kondo would be proud.
Research and purchase products needed for both clients and internal use.
Sales Support – The Secret Sauce Behind Our Success
Assist the sales team with preparing quotes and proposals (aka turning their ideas into official-looking documents).
Keep the CRM updated—because if it’s not in the CRM, did it even happen?
Follow up with clients and prospects, ensuring no lead falls through the cracks.
Ensure all sales documentation is accurate and delivered on time (your attention to detail will make us weep with joy).
Support marketing efforts with event planning, email campaigns, and possibly wrangling people for social media content.
You’ll Thrive Here If You...
Have an eye for detail – You notice the little things others don’t (like when someone accidentally books a meeting at 6 AM).
Are a communication wizard – You can craft an email that’s both professional and doesn’t put people to sleep.
Like working independently, but also love a good team brainstorm – We’re all about collaboration, but also trust you to own your tasks.
Aren’t afraid of follow-up calls – Sometimes, clients just need a friendly nudge.
Enjoy making things run smoothly – If a process is broken, you’re the type who wants to fix it.
Are tech-savvy – No need to be a full-blown IT guru, but familiarity with Microsoft Office and CRMs is a plus.
Your Background (AKA, What We’re Looking For)
Associate’s degree in Business, Office Administration, Communications, or Accounting preferred.
Prior experience in admin, sales support, or customer service is a huge plus.
Familiarity with IT and Managed Services would be cool, but isn’t a dealbreaker.
Perks & Benefits – Because We Actually Care
Health & Wellness: Medical, dental, and vision insurance options with a portion paid by us.
Security: Company-paid life insurance & long-term disability coverage.
Retirement Perks: 4% 401(k) match + annual profit-sharing.
Time Off That Actually Feels Like Time Off: Generous PTO with rollover & buy-back options.
Do Good, Feel Good: 16 hours of Volunteer Time Off (VTO) + 8 paid holidays per year.
Fuel for Your Brain & Stomach: Office snacks + regular company-paid get-togethers.Company Description
In business since 2004, INC Systems is a technology services and consulting company that has been involved in vast number of diverse projects. Until 2013, there were two divisions of the company with one focused on I.T. services and the other on low-voltage wiring, audio video projects and home automation. A tremendous amount of knowledge was gained during our first decade, not only on the technical work but in managing client expectations and delivering value. Today we only work with businesses and non-profits that view I.T. as critical to their success.
