As part of our growing team, the Data Entry Club plays a critical role in maintaining accurate and up-to-date information, supporting BAYSCAPES’ operations, and ensuring smooth workflows across all departments.

Job Overview:

As a Data Entry Clerk, you will assist with maintaining data accuracy, tracking project details, and supporting the organization’s backend systems. This is a key role that ensures all our project, client, and environmental data are effectively managed and accessible for teams across BAYSCAPES.

Key Responsibilities:

*Data Entry & Management:

• Input customer, project, and environmental data into internal databases.

• Update and maintain records for all ongoing projects, including materials used, timelines, and environmental factors.

• Review and verify the accuracy of data before entering into systems.

*Data Quality Assurance:

• Conduct routine checks to ensure data consistency and integrity.

• Flag and report any discrepancies or issues in the data to the supervisor.

*Document Management:

• Assist in organizing and categorizing physical and digital files, including contracts, invoices, and project proposals.

• Create and update spreadsheets, reports, and databases as required.

*Reporting Support:

• Generate basic data reports as requested by management, ensuring that project timelines, budget tracking, and resource allocation are properly recorded.

• Support the team with various administrative tasks such as preparing project summaries and client communications.

*Collaboration:

• Work closely with other departments (sales, operations, design teams) to gather and input relevant project and customer data.

• Ensure data shared across teams is accurate and up-to-date, fostering smooth collaboration across departments.

Qualifications:

• High school diploma or equivalent; some college coursework in business, environmental studies, or related fields is a plus.

• Basic knowledge of data entry software and spreadsheet tools (Excel, Google Sheets, etc.).

• Attention to detail and high accuracy in entering and verifying data.

• Ability to handle sensitive information with discretion and confidentiality.

• Strong organizational skills and ability to manage multiple tasks.

• Excellent communication skills and a team-oriented attitude.

• A passion for sustainable practices in landscaping and environmental services is a plus.

Preferred Skills:

• Familiarity with project management or CRM systems (e.g., Salesforce, Asana, Monday.com).

• Previous experience in data entry or administrative support in a similar field.
