JOB TITLE: Accounts Payable Specialist
REPORTS TO: Director, Accounting
JOB PURPOSE: Provide administrative services related to the Accounts Payable function under the supervision of the Director of Accounting. This includes processing and monitoring invoices and facilitating compliance with AP related policies and procedures.
MAIN ACCOUNTABILITIES:
Maintain AP and Invoice email inboxes
Apply analytical skills to analyze data, identify problems, and resolve invoice discrepancies
Identify, log, and distribute invoices to the appropriate individuals to obtain proper authorization
Maintain invoice log; scan and maintain records of all invoices; track and follow up on invoices to ensure that all invoices are properly processed
Process invoices in accordance with policy and insure proper authorization, correct information, and accuracy of SAP information
Handle vendor request and research issues related to AP (accounts payable) records. This includes reconciling and researching accounting records.
Reconcile and maintain the integrity of the AP (accounts payable) invoice log and the invoices in SAP
Prepare weekly payment proposals and collaborate with Central Treasury function
Maintain AP (accounts payable) records and insure proper storage of AP electronic documentation
Prepare the monthly invoice accrual with related coding
Other duties and reporting as assigned
KNOWLEDGE/SKILLS AND EXPERIENCE:
Knowledge of accounts payable systems and software
Strong analytical and communication skills
Experience with discrepancy resolution
Solid understanding of accounting principles and practices
Ability to maintain a high level of accuracy and strict adherence to policies and procedures
Ability to key large volumes of data utilizing the SAP software
Effective organizational and time management skills
Ability to participate and facilitate group discussions and teamwork
Willingness to work flexible schedule
Skills usually developed through a combination of two to three years' experience in an accounting environment with a high volume of transactions; possibly completion of study in a professional accounting program.
