Finance A/P Specialist

Position Summary/Objective:

Accounts Receivable Specialist is responsible for applying & posting payments in Deacom (ERP software system), monitoring accounts to identify outstanding invoices, contacting customers with past due balances to facilitate payment(s), and researching & submitting disputes with payment discrepancies.

Job Responsibility Break-Down:

* Research & submitting disputes with payment discrepancies (45%)

* Processing payments in ERP software system (30%)

* Collections (15%)

* Filing (10%)

Essential Functions *Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Duties include but not limited to:

1. Send first notice of invoices via email // upload invoices to online customer portal applications for payment processing.

2. Research and resolve payment for disputed and short paid invoices.

3.File disputes for payment deductions or debit memos issued in error.

4. Review payments that are past due and place account on credit hold (if necessary).

5. Monitor accounts on credit hold to determine actions needed to release orders.

6. Work collaboratively with appropriate departments to resolve customer disputes, inquiries and requests.

7. Maintain AR master tracking logs (excel spreadsheets), update status of accounts and collections

8. Develop effective payment plan for past due invoices (if necessary).

9. Post customer payments by recording credit card (20%), check (40%) and ACH (40%) transactions.

10. Process credit card payments on Clover for AR invoices.

11. Process customer credit applications.

12. Assemble invoice packets with invoice, pick ticket(s), and BOL to then be filed.

13. Prepare and provide AR invoices and reports during audit.

14. Performs other duties as assigned.

Supervisory Responsibility: This position has no supervisory responsibilities.

Work Environment: This position operates in a professional office environment. This role routinely uses standard office equipment.

Physical Demands: While performing the duties of this position, the employee is regularly required to talk or hear. The employee is sometimes required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee must occasionally lift or move objects up to 20 pounds.

Position Type/Expected Hours of Work: This is a full-time position, and a minimum of 40 hours per week is required.

Travel: No travel is expected for this position.

Required Education and Experience:

1. High school diploma or GED.

2. 2-3 years' previous experience.

Preferred Education and Experience

1. Associate's Degree in Accounting.

2. 2-5 years' previous experience.
