The Opportunity
This team supports multi-disciplinary professionals in producing strategic, polished, and compliant proposals across a variety of sectors including infrastructure, municipal services, engineering, and planning. The Proposal Coordinator is central to the success of the proposal lifecycle—from reviewing complex RFPs to pulling together contributions from technical teams and meeting strict deadlines with excellence.

Key Responsibilities:
Review and summarize RFP/RFQ requirements for internal teams
Create proposal workplans and timelines, managing deadlines and deliverables
Coordinate contributions from technical writers, project managers, and designers
Facilitate proposal meetings to align teams and track progress
Format, proofread, and finalize documents for submission
Maintain and update proposal content libraries (resumes, project sheets, templates)
Ensure brand, formatting, and editorial consistency across all submissions
Support post-submission debriefs and track success metrics
Qualifications:
3+ years of experience coordinating proposals in a multi-partner or technical environment
Strong working knowledge of the RFP process and proposal lifecycle
Excellent attention to detail with advanced proofreading and document formatting skills
Post-secondary education in communications, marketing, business admin, or related field—or equivalent experience
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with templates is a must
Adobe Creative Suite experience is an asset, but not required
Familiarity with AEC (Architecture, Engineering, Construction) or municipal procurement is a bonus
Strong communication and relationship-building skills—you’re confident coordinating inputs from a wide range of stakeholders
Deadline-driven with the ability to juggle competing priorities
Confident taking initiative and solving problems independently
Ability to translate technical content into client-focused messaging
Collaborative mindset with a high degree of adaptability
