Job Objective

Managing supportive operations of various administrative, accounting, compliance and daily operations of our office as well as supportive tasks for our sales and service departments.

Tasks & responsibilities

Accounting:

Managing accounts receivable collections, ensuring timely payments

Preparation of accounts payables payments for signiture

Sap enteries for suppliers invoices, collections, payments

SAP updates

Bank transactions

Bank, customers and supplier reconciliations

Journal Entries (JE) posting

Reports to corporate

General Office Administration

Responsible for all things related to the functioning of the office including preparing for meetings, interfacing with the maintenance and cleaning staff, stocking of supplies, managing guest visits

File maintenance and organization

Backoffice Support:

Managing car fleet (12 cars)

Calendar coordination

Backoffice support for the service department

Managing the dispatch and documentation of GOPs for all teams

Managing the process of sending RGAs to the company.

Ordering spare parts for the various warehouses of the technical team

Ordering auxiliary equipment for the technical team

Backoffice support for the sales department

Marketing Coordination:

Event Planning: Coordinating events in collaboration with our advertising and event production agency

Design & Marketing Assets: Managing the production and coordination of marketing materials with our advertising and event production agency

Content Ownership: Managing our broadcast content in close coordination with the commercial manager

Sales Support:

Assisting with the preparation of price quotations

KPI Monitoring in Salesforce:

Daily tracking of KPIs using Salesforce

Country Manager Support

Providing administrative support to the Country Manager

Compliance

AMAR Coordination

GOP document dissemination and reader compliance

Regulatory compliance

Handling customer complaints

Education

High school diploma or higher education, preferably in fields related to business administration or accounting

Professional experience

Experience in office management, administrative support or similar roles

Experience in Financial Administration and compliance

Knowledge and skills

Skills:

Excellent organizational and time management skills

Practical communication skills, both written and verbal

Ability to work under pressure in a dynamic environment

Problem-solving and decision-making abilities

knowledge in basic bookkeeping.

knowledge of bookkeeping or accounting software (e.g. SBO – preferred)

knowledge of ERP systems (SAP / Salesforce) favorable

Proficiency in MS Office products

Personal Qualities:

High level of responsibility and self-discipline

Attention to detail and accuracy

Proactive and able to work independently

Flexibility and adaptability to change

Teamwork skills and the ability to build relationships

Languages:

Fluent in both English and Hebrew
