Under the direct supervision of the Director of Information Technology, the Senior Administrative Assistant provides advanced administrative and operation support for the Information Technology Department. This position assists with departmental logistics, project documentation, procurement coordination, budgeting support and day-to-day operations to ensure efficient and organized technical service delivery. The role requires a high level of organizational skills, initiative, and the ability to work within a technical environment.
Essential Job Functions
The Senior Administrative Assistant is responsible for performing a variety of professional duties to support each department's mission.
Compiles data based on research techniques and statistical compilation involving understanding of operating division programs, policies and procedures; drafts financial, statistical, narrative and/or other reports as required.
Assist with inventory management of IT assets, including tracking hardware software and related equipment to ensure accurate records and availability
Composes and types office correspondence; arranges and implements as directed, travel, conferences, committee/board meetings etc.
Supervises the preparation of agenda items, minutes and resolutions and other related materials.
Responds to and follows up on inquiries and/or complaints.
Assists in department budget preparation and monitors budget expenditure and generate reports as needed.
Executes assignments utilizing word processing and other automated systems.
Be primarily responsible for assessing and evaluating help desk support needs
Assist with the documentation and reporting of the department's strategic priorities and outcomes, helping to communicate progress on key initiatives and performance indicators
Assist with contact management, including tracking contact timelines, maintaining documentation and coordinating renewals or amendments with vendors.
Department procurement including general office supplies, processing Accounts Payable transactions; processing Purchasing-Card receipts, and vendor and contract engagement and oversight.
Answers phone calls for departments and assigned divisional team.
Assists walk-in customers by providing information as needed to respond to customer requests.
Manages and coordinates department association memberships.
Performs other duties as assigned. Regular, reliable, and non-disruptive attendance is an essential function of this position, as is the ability to create and maintain professional, harmonious working relationships with others.
Minimum Requirements
Associate's degree in business administration, public administration, Informational Technology or related field.
Including three years progressively responsible administrative support experience; preferably in a technical or municipal environment or an equivalent combination of related training and experience.
Comprehensive knowledge of Business English, spelling, punctuation and arithmetic; modern office practices and procedures including record keeping methods. Good knowledge of computers and applicable computer software such as Word, Excel and Publisher.
Ability to perform a variety of work assignments, ability to spell with 85% accuracy and type at 50 WPM; ability to establish effective working relationships with co-workers and the general public; ability to communicate effectively both orally and in writing. Ability to work well with city staff and elected officials.
Other Requirements
Valid driver's license required. Must have and maintain a good driving record in accordance with the driving standards established by the City of Rowlett. Must report all traffic citations to his/her departmental Director or his/her designee within two working days of receipt.
