Job brief
An Executive Assistant is sought to provide high-level administrative support to a senior executive or team. This support ensures the smooth and efficient operation of professional and, at times, personal responsibilities. The ideal candidate thrives in a fast-paced environment. They can anticipate needs, manage complex schedules, and maintain discretion when handling confidential information.
Responsibilities
Calendar & Scheduling: Manage and optimize the executive's calendar, prioritizing meetings, deadlines, and commitments for efficiency.
Meeting & Event Coordination: Prepare agendas, coordinate materials, track action items, and organize internal and external meetings, events, and speaking engagements.
Travel Management: Plan and coordinate all travel logistics, including flights, accommodations, transportation, and itineraries, for both business and personal travel.
Communication & Correspondence: Act as a gatekeeper for incoming communications, screening emails, calls, and requests, and ensuring timely follow-ups and decision-making. Draft and edit correspondence, reports, presentations, and other documents.
Document Preparation & Organization: Manage and organize electronic and physical files, ensuring confidentiality and easy retrieval.
Expense & Budget Management: Process and track expense reports, monitor spending, and coordinate with finance for reimbursements and budget oversight.
Liaison & Relationship Management: Serve as a primary point of contact between the executive, internal staff, clients, vendors, and external stakeholders.
Special Projects: Support research, reporting, and execution of strategic initiatives as directed.
Confidentiality & Professionalism: Handle sensitive and confidential information with absolute discretion and integrity.
Requirements and skills
Education: Bachelor's degree or equivalent experience is required; a degree in Business Administration, Communications, or a related field is preferred.
Experience: A minimum of five years of executive-level administrative support is necessary, preferably in a high-paced or entrepreneurial environment. Experience handling both business and personal matters for a C-level executive is preferred.
Technical Skills: Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Google Suite is essential.
