The Group has an extensive track record spanning almost four decades across a wide range of commodities. Our teams have deep expertise in the mining, minerals, and metals processing industries, as well as related non-process infrastructure such as water, and energy solutions.
DRA covers all major mining centers with offices across Africa and the Middle East, North and South America, and the Asia-Pacific. We are seeking a Document Controller for our Arizona Office.
The Document Controller is Responsible for managing, coordinating, and maintaining all project documentation (internal and External) in accordance with specific project requirements. This role ensures the accuracy, quality, and integrity of documents, facilitating effective communication and compliance with industry standards, company and project policies and procedures.
Key Performance Areas (Responsibilities)
Technical Expertise
Establish the Electronic Document Management System (EDMS) for a project in line with project specific requirements (supported by the Document Control and ICT Departments).
Coordinate all activities related to the Document Control procedure.
Explaining the project document process to the project execution team(s).
Supports user requests for documentation and trains users in the EDMS System(s) deployed to the project.
Receiving, tracking, and monitoring of incoming / outgoing Project documentation and maintaining electronic copies of project and vendor documentation.
Adding documentation into the EDMS system(s), including:
Engineering and project documentation Technical, drawings and Non-Technical Documentation (i.e. Month-end Reports, Weekly Reports, Correspondence, Minutes of Meetings, Memorandums, etc..).
Vendor Documentation (where applicable).
Project Specific Procedures
Procurement and Contractual Documentation
E-mails (as determined)
QA/QC Reports and Documentation
Payment Certificates and Invoices
Managing the required review workflow processes for project documentation includes documents, drawings, VDR and including development of Distribution matrices.
Managing the internal and external issuance of drawings and technical and non-technical documentation through the transmittal process.
Generate reports from the EDMS system(s) to track document(s) status as required.
Assist in supporting internal and external audits.
Close-out Documentation
Ensure the required handover documents are complete (both Native and PDF formats) in the correct folders and latest revisions for a streamlined handover.
Ensure project documentation (Natives and PDF formats) is accurate. Documentation may include Engineering Technical, Non-Technical, Drawings, Vendor Documentation, As-Builts, various data books for each equipment or area and Maintenance Manuals.
Operational Function
Ensure all daily duties / Document Control activities are performed in accordance with the standards and procedures of DRA and any project specific prescribed requirements including EDMS Systems.
Stakeholder Relations
Ensures that interactions with all Stakeholders are conducted in professional and respectful manner.
Ensures that all relevant Stakeholders are kept well informed and up to date on status of project deliverables and any technical aspects within Document Control.
Ensures that DRA remains the Clients Engineering service provider of choice.

Requirements
Education:
High school diploma or equivalent required.
Post-secondary certification in business administration, project coordination, or records management preferred.
Additional training or certification in Document Control or EDMS systems is an asset.
Experience:
Minimum 3–5 years of experience in a document control role, preferably in engineering, mining, construction, or industrial projects.
Experience working with engineering drawings, vendor documents, and contractual records.
Experience supporting project audits and handover deliverables.
Technical Skills:
Proficiency in Electronic Document Management Systems (e.g., Aconex, SharePoint, ProjectWise, Procore, or similar).
Strong Microsoft Office skills (Word, Excel, Outlook, Teams).
Familiarity with ISO 9001 and project QA/QC standards is advantageous.

While performing duties of this job, you may be required to stand, sit in a stationary position 50% of the time, alternate between sitting and standing, push/pull as necessary, reach overhead or below shoulder level, kneel, squat, or stoop.
May be required on occasion to lift and carry items such as files, documents, or small packages, typically up to 10 -20 pounds.
Frequent use of hands and fingers to operate a computer keyboard and other office equipment.
Close visual acuity to perform activities such as reading, analyzing data, and working on a computer.
