Salary: Starting at $24/hr
Position Summary
The Administrative Assistant plays a key role in ensuring smooth daily operations and high-quality communication across the organization. This position is often the first point of contact for clients, community members, and service partners. The ideal candidate is compassionate, calm under pressure, highly organized, and able to navigate sensitive conversations with empathy and professionalism.
Key Responsibilities
Serve as the primary point of contact for incoming calls, voicemails, and general inquiry emails.
Provide timely, clear, and thorough communication to individuals who may be experiencing crisis.
Research and maintain a current list of local and regional community resources, including housing programs, food banks, mental health services, and other supports.
Clearly communicate resource availability and limitations with compassion and transparency.
Support day-to-day administrative functions such as data entry, record keeping, mail distribution, inventory tracking, and other clerical tasks as assigned.
Assist staff with scheduling, filing, supply ordering, and other programmatic needs.
Collaborate with a diverse, interdisciplinary team and contribute to a positive, solutions-focused work environment.
Maintain client confidentiality and adhere to agency policies and procedures.
Additional tasks as assigned by executive team
Qualifications
High school diploma or equivalent required; associate’s degree or higher preferred.
Prior experience in an administrative or front-desk role, preferably in a social services, healthcare, or nonprofit setting.
Strong interpersonal and communication skills, both written and verbal.
Ability to maintain professional boundaries and deliver difficult messages with empathy and respect.
Comfort working with individuals experiencing homelessness, mental illness, or crisis situations.
Proficiency in Google Suite and comfort with databases and online tools.
Strong time management and multitasking skills.
Flexible, reliable, and committed to working as part of a large, collaborative team.
Preferred Qualifications
Bilingual or multilingual skills are a plus.
Knowledge of local social service resources and systems.
Trauma-informed care or de-escalation training experience is highly desirable.
Working Conditions
Ability to sit for extended periods
Ability to walk up and down stairs and stand for extended periods.
Ability to lift up to 20 pounds and assist with light physical tasks (e.g., setting up tables/chairs).
Ability to perform job duties that may involve bending, twisting, or reaching.
