Job Overview:
The primary role of the Dispatch Supervisor is to ensure as many on-time deliveries/pickups each day as possible, communicate any and all route delays/issues and capture all issues in an objective way in support of sales and operations. The Dispatch Supervisor will maintain the day-to-day scheduling and distribution of drivers assignments ensuring that the duties and responsibilities of the position are complete. The Dispatch Supervisor will ensure that the attention to detail and customer service philosophy of Select Event Group is nurtured and maintained at all times.
The Dispatch Supervisor will maintain continuous e-mail visibility throughout their entire shift, ensuring that all communications and issues are acted upon accordingly. Through staff meetings and required training, the position is expected to maintain a high-level of awareness and observation of Fire, Health & Safety Regulations. The Dispatch Supervisors success will be evaluated based on the flow and efficiency of the team, ability to assist others and improve processes to be more efficient. The overall expectation is that the team delivers the right equipment in the right repair to the right site at the right time.
Duties and Responsibilities:
Check out all drivers on their assigned day of the week and review the routes with the drivers to:
Note any possibility of issues.
Review and make note of all timed stops to ensure there are no inconsistencies or errors.
Review and make note of any and all special instructions or any item of importance you feel will assist in the quality performance of your duties, ensuring drivers are all informed and all issue have been corrected.
Ensure that all drivers and helpers are in a clean and proper SEG uniform.
Check in and processing of all late night drivers paperwork in accordance with procedure.
Ensure that of all driver daily paperwork is complete, accurate and provides ample detail to support driver record keeping requirements and contract closing activities.
Includes requesting and tracking all driver credit card receipts for charges incurred for the day.
Confirmation that there are no Run Outs uncovered/needed.
Drivers are dressed in accordance with Selects driver uniform policy.
Communicate closely with all Dispatch Supervisors working the current day, separate all routes by his/her assigned geographical responsibility and review all within the first 20 minutes of the shift.
Prepare and email the Route Coverage assignments for the day. This email will be sent to Sales and Operations Teams by the close of business the previous day.
Prepare the daily Crew Assignments form and provide a copy to the Director - Operations by 0730 of the route day.
Monday through Friday, select the Audit Driver for the day and email the Director - Operations by 0730.
Communicating with the drivers throughout the day is a very important part of the Dispatch Supervisors responsibility. Reasons of importance for communicating with drivers include but are not limited to:
Notifying drivers who will be their Dispatch Supervisor for the day.
Getting the drivers times and updating Point of Rental (POR).
Assist in troubleshooting any issues arising at the venue/client site.
Assist, following Selects Vehicle Breakdown Reporting procedures.
Monitor all intercom announcements for orders and administer/dispatch Run Outs received from the sales division and calls from the field.
Actively participate in the Divisions On Call Team.
Employee Training and Development
As needed, and in conjunction with the Field Operations Coordinators leadership, complete cross-training activities in order to become a certified Driver and/or Dispatch Router.
Participate in a drive-a-long with a delivery team once a quarter as selected by the Director Operations.
Attend one venue walk twice quarterly as selected by the Director Operations.
Attend four (4) hour sales office visit once per quarter.
