SUMMARY: Under the supervision of the Department Directors, is responsible for overseeing the coordination of activities related to the department. Responsible for a wide range of tasks and establishing and improving communication between department team members.
ESSENTIAL FUNCTIONS:
Oversee preparation and distribution of all materials for internal and external meetings.
Coordinate and direct administrative support functions for the department. Implement procedures for production of documents, workflow, filing, ordering of supplies, furniture and other office equipment, records maintenance, and other clerical
Conduct administrative and clerical production, phone calls, scheduling of appointments and meetings, receiving visitors, and organization of Department, i.e., filing systems (including e-filing systems), record retention systems and proper and accurate dissemination of information to staff, board members and outside
Assist managers with department administration including contract preparation/review and project tracking, internal budgeting, staff training management, and determining the most cost-effective way to conduct business (i.e. cost comparison for supply and other department purchases).
Work on special projects created by the Department Director’s involvement in various community and civic associations and initiate, establish and build relationships to further develop the Executive Assistant
Act as administrative lead for all departmental public involvement activities including coordination of public meetings, maintaining rosters, and assisting with newsletter development and/or other widely disseminated department
Develop familiarity with cultural diversity and apply diversity and inclusion efforts in daily business.
Schedule meetings, make travel arrangements, handle expense reports, and handle conference and special event registrations on behalf of department directors.
Order office supplies as needed, while seeking cost
Maintain files and prepare records retention
Coordinate meetings – prepare and distribute meeting agendas and summaries, preparation (room set-up, order and prepare refreshments, table tents, etc.), and room clean-up.
Proofread Power Point presentations, brochures, fliers, reports and other marketing collaterals.
Participate in the planning and day-of activities for agency outreach
Schedule conference rooms for meetings and review conference room dates reserved by department to verify information is
Cross train and provide back-up within their group according to the agency’s Administrative Support
